Coordinator Scheduling - Beverly Hills - IM Endo Cl - Full Time 8 Hour Days (Non-Exempt) (Union)

The Scheduling Coordinator schedules patient appointments, follow‑ups, and/or surgeries within the assigned unit/clinic. The Coordinator closely monitors patients throughout various phases to ensure completion of required testing and services, validates financial clearance, provides stellar customer service when interfacing with patients in person and over the phone, alerts clinicians when patient testing is complete or when patients are non‑compliant, coordinates collection of testing results and provider notes, and collaborates with ancillary departments as needed. The Coordinator obtains authorizations and pre‑authorizations for services, schedules ancillary appointments, ensures patient charts are prepared prior to appointments or surgery including x‑rays and pertinent lab work, makes arrangements for special equipment, reviews and codes charge slips, maintains files and records for insurance claims, preserves the master appointment/surgery calendar, oversees equipment and office supply inventory, reads incoming mail, and liaises with other departments and physician office staff for support services and equipment needs. Essential Duties Utilize courtesy, compassion, kindness and honesty while interacting with public, patients, and clinic personnel. Adhere to protect patient confidentiality. Process new referrals in a timely manner, including obtaining required outside medical records, entering demographic information, providing records to the physician and financial counselor, and scheduling the patient in clinic. Schedule patient appointments promptly, accommodating patient’s needs and the physician’s requests, including laboratories, procedures, and consultations. Understand the protocols for scheduling patients and give proper patient instructions. Notify patients of upcoming appointments in a timely manner. Proactively manage clinic schedules, review the master schedule, anticipate requirements, and communicate changes to all involved personnel to create a well‑managed operational flow. Demonstrate thorough understanding and expertise in computer systems such as Cerner and GE Centricity Business, ensuring accuracy in data entry. Collaborate with hospital personnel to resolve issues and accommodate patients. Prepare charts for appointments and maintain proper chart format. Provide estimates of patient liabilities to patients, physicians and insurance companies based on guidelines and systems, and collect payment. Provide phone coverage, relay messages, read and respond to email, and retrieve voicemail messages within 24 hours following departmental protocol. Demonstrate flexibility in covering other staff members for sick time, vacation, or leave of absence. Work independently and as part of a team to accomplish duties in a timely manner. Maintain open communication with management and staff while demonstrating a professional demeanor at all times. Perform other duties as assigned. Required Qualifications High school diploma or equivalent. Minimum of 2 years of experience in a health‑care setting. Prior experience in a clerical, administrative, and/or receptionist role. Excellent communication skills in speaking, reading, and writing English. Comfortable with computers and medical terminology. In‑depth knowledge of all insurance types. Preferred Qualifications None specified. Required Licenses / Certifications Fire Life Safety Training (LA City). If no card upon hire, must be obtained within 30 days and maintained by renewal before expiration date (required only within LA City). The hourly rate range for this position is $22.00 – $37.40.
