Job Title: Administrative Assistant - Quality Operations

Role Overview
We are seeking a highly organized and discreet Administrative Assistant to support our Quality Operations team. In this role, you will be the backbone of our department, ensuring that documentation is meticulously maintained, office workflows remain efficient, and confidential records are handled with the highest level of integrity.
This is a critical support position for a professional who thrives in a fast-paced environment where precision is paramount. You will act as the primary contact for document preparation and data management, requiring a candidate who can interpret complex instructions, manage competing priorities, and maintain a professional demeanor under pressure.

Key Responsibilities
Document & Records Management
• Confidentiality Steward: Manage the control, completion, and secure filing of highly sensitive documents. Ensure all records are handled in strict adherence to company confidentiality and data-privacy policies.
• Administrative Support: Perform routine and complex clerical duties, including drafting professional documents, managing data transfers, and operating office equipment to maintain operational flow.
• Quality Documentation: Assist the Quality team by ensuring reports, certifications, and compliance-related documentation are accurately prepared and stored in accordance with internal standards.

Operational Coordination
• Project Support: Participate in departmental special projects and act as a liaison between the Quality team and other organizational leaders as needed.
• Efficiency Management: Manage your own workload to meet strict deadlines. Proactively set priorities, coordinate schedules, and ensure that departmental needs are met with minimal oversight.
• Safety & Standards: Maintain an active awareness of safety protocols and demonstrate safe work practices in all office interactions.

Qualifications & Requirements
Minimum Qualifications
• Education: High School Diploma or GED required.
• Experience Baseline: Minimum of one (1) to three (3) years of professional administrative or clerical experience.
• Technical Mastery:
oAdvanced proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
oDemonstrated ability to manage data transfers and operate modern office equipment.
• Soft Skills: Excellent interpersonal, verbal, and written communication skills. Ability to interpret diverse written/oral instructions and translate them into actionable results.

Preferred Attributes
• Proven ability to function effectively in a high-pressure, deadline-driven environment.
• Highly organized, self-motivated, and capable of working as both a dedicated individual contributor and a collaborative team player.
• Experience in a technical or process-oriented industry (e.g., manufacturing, engineering, or logistics) is a strong plus.
