Position Summary Responsibilities include managing tasks and schedules, including resources, timeframes, and project budgets, and maintaining project documentation. To succeed in this role, you should have excellent time management and communication skills, as you'll collaborate with clients and internal teams to deliver results on deadlines. Essential Duties and Responsibilities Manage project activities, resources, equipment, and information. Liaise with department directors to document and analyze business requirements, processes, and workflows to identify requirements, scope, and objectives of One Tribe and Laserfiche systems' implementation. Create and monitor project milestones; manage and account for unforeseen delays; resolve any issues that arise; realign schedules and expectations as needed. Track and report project progress identify and mitigate risks. Develop and manage project budgets of $100,000 or more. Prioritize and manage IT initiatives based on business needs and requirements to ensure adherence to specific project objectives. Liaise with Grants for grant applications to support the program. Coordinate appropriate legal paperwork for consistency. Create and maintain comprehensive project documentation, plans, and reports. Source and liaise with various external partners to monitor outsourced projects or tasks. Manage internal resources by assigning duties and responsibilities and setting work priorities. Provide weekly status reports detailing issues, corrective actions, and project statuses to the Director. Implement and manage the One Tribe and Laserfiche systems design and processes to the tribal department's specifications. Analyze, identify, and manage the implementation of enhancements, upgrades, and solutions to improve the user experience of the One Tribe and Laserfiche systems by attending meetings with departmental directors to understand requirements, change requests, and defect reports. Configure and maintain the One Tribe and Laserfiche systems' adherence to the tribal and departmental policies. Manage the integration of the One Tribe and Laserfiche systems with other IT systems and third-party applications. Manage and support reliable and effective use of the One Tribe and Laserfiche systems by end users, whether internal employees or external customers. Manage user access to the One Tribe and Laserfiche systems' data, such as files and reports, while safeguarding data. Lead ongoing reviews of business processes and develop optimization strategies for One Tribe & Laserfiche systems. Performs other duties as assigned. Supervisory Responsibilities This position has no supervisory responsibilities. Education and/or Experience High school diploma or general education degree (GED); and four years of experience in a technology position or a related position performing project coordination and/or training; or equivalent combination of education and experience. Previous experience in a Project Coordinator role is preferred. Intermediate experience with Microsoft Office Suite including word processing, spreadsheets and database applications. Language Skills Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Other Licenses, Skills and Abilities Must be willing to complete and pass a criminal and federal background check before employment and periodically throughout employment. Experience with taking minutes, transcription, purchasing and report generation. Must have and maintain a valid and unrestricted driver's license and proof of automobile insurance. Must maintain confidentiality at all times. Must demonstrate an ability to work with individuals at all levels of the organization. An ability to prepare and interpret flowcharts, schedules and step-by-step action plans. Solid organizational skills, including multitasking and time-management. Strong client-facing and teamwork skills.
