Executive Assistant to the CEO

The Role Havenly is seeking an exceptional Executive Assistant to serve as a trusted partner to our CEO. This is a highly visible, high‑impact role requiring discretion, operational excellence, and the ability to navigate a fast‑paced, high‑growth environment. The Executive Assistant will act as a force multiplier for the CEO — ensuring her time, communications, and daily operations run seamlessly amid constant change and shifting priorities. This role is based full‑time in our Denver headquarters and requires in‑person presence five days per week. Key Responsibilities Own and manage the CEO’s complex, dynamic calendar, adapting quickly to last‑minute pivots and evolving priorities. Manage recurring leadership team schedules and programs, including action planning sessions, strategy days, offsites, and leadership meetings. Manage select special projects and initiatives on behalf of the CEO, ensuring alignment, coordination, and timely execution. Serve as a central point of coordination between the CEO and cross‑functional business units to ensure strong communication and alignment. Exercise sound judgment in determining what requires CEO visibility versus independent handling. Act as a highly trusted gatekeeper and partner across all communication channels. Travel Management Plan and execute all domestic and international travel arrangements for the CEO, including flights, hotels, ground transportation, itineraries, and visa coordination. Coordinate and execute travel logistics for additional Leadership Team members and broader team travel as needed. Manage complex, multi‑leg itineraries while balancing time efficiency and cost considerations. Troubleshoot travel disruptions in real time with calm, solutions‑oriented execution. Inbox & Communication Management Manage and shadow the CEO’s inbox, triaging inbound communication and prioritizing urgent matters. Draft responses on behalf of the CEO and ensure timely follow‑through on key communications. Flag critical issues and ensure appropriate visibility and action. Denver Office Operations & Team Experience Support day‑to‑day management of the Denver office environment. Coordinate weekly team lunches (including Tuesday team lunches) and other in‑office engagement initiatives. Plan and execute special events hosted in the Denver office. Partner with building management to address facilities needs, maintenance requests, and vendor coordination. Help ensure a welcoming, well‑run, and fun yet professional office environment reflective of Havenly’s culture. Event & Offsite Planning Plan and execute a wide range of events on behalf of the CEO, including leadership team dinners, executive offsites, and company‑wide initiatives. Coordinate and execute team‑based events such as holiday celebrations, hackathons, spirit weeks, and other engagement initiatives. Manage end‑to‑end logistics including venue sourcing, vendor coordination, budgets, and timelines. Ensure all events reflect Havenly’s brand and culture with polish and attention to detail. Operational Excellence & Technology Fluency Build and refine systems that improve executive operations and communication flow. Identify inefficiencies and implement scalable solutions. Leverage modern workplace tools and integrate AI into daily workflows to enhance productivity, organization, and decision support. Qualifications 6+ years of experience supporting a senior‑level executive, preferably a CEO or other C‑suite leader. Experience in a high‑growth, consumer‑facing, or startup environment strongly preferred. Exceptional written and verbal communication skills. Strong organizational and prioritization skills with the ability to operate independently. High level of discretion, professionalism, and executive presence.
