Residency Program Coordinator - Rehabilitation and Human Performance

Description The Residency Program Coordinator ensures compliance with current guidelines of the American Medical Association (AMA), Accreditation Council for Graduate Medical Education (ACGME) and applicable specialty boards. Coordinates the day-to-day operations of the department’s residency and/or fellowship program for residents, fellows, and voluntary attending physicians. Under the guidance of the Residency Program Director, the Coordinator ensures timely submission of completed House staff appointment applications to the medical center, maintains rotation schedules and grand round appointments for staff, and maintains accurate records of current and past residents. Responsibilities Coordinate all aspects of the resident/fellow interview process, including scheduling interview dates, corresponding with potential applicants, confirming meetings and appointments, and ensuring applicant credentials are in compliance with current guidelines. Coordinate with House Staff Affairs and Human Resources to ensure completion of documents received from ERAS for appointment of house staff applicants; follow up with applicants regarding missing credentials to expedite processing of appointments and reappointments, and monitor licensing requirements. Implement all required modules of the New Innovations residency management software, including data management and reporting, user training for program faculty and residents/fellows, and collection of demographic information for the AMA tracking system. Coordinate Orientation Day for new house staff, inclusive of revisions to the Residency Training Program Manual, Security and Human Resources clearance, subscription forms, and society membership applications. Serve as resource for all house staff personnel, notifying residents/fellows of orientation, rotation schedules, vacations, conferences, and approved leaves of absence while ensuring compliance with current guidelines; communicate conditions of house staff appointment to candidates at or before interview; assist in resolving problems and concerns; assist international applicants with J1/H1 visas and submit required documents to ECFMG, NYS Education Department, International Personnel in Human Resources, and House Staff Affairs. Prepare resident/fellow schedules, which include didactic lecture series, grand rounds, and calendar of events; correspond with lecturers and coordinate lecture dates, topics, and audiovisual needs. Provide administrative oversight for all residency and fellowship programs, including handling inquiries, sorting correspondence, setting up folders, maintaining residency program files per records‑retention schedules, assisting with requests for verification of residency training, and maintaining calendar of applicant appointments and meetings. Ensure compliance with departmental policies and procedures and all residency/fellowship program requirements, such as submitting duty hour reports to the Compliance Office, collecting and tracking evaluations of residents, faculty, and the program, and ensuring compliance regarding house staff moonlighting or other professional activities outside the program. Arrange resident/fellow participation in activities within and outside the program, such as Core Curriculum, Chief Residents Retreat, research days, Morchand Center Clinical Skills Examination, and House Staff Council; organize rank‑order list meeting for the Resident Selection Committee and ensure accurate submission of the rank‑order list to the National Resident Matching Program (NRMP). Maintain and monitor records of resident attendance for all required educational activities, including conferences and didactic experiences; maintain the residency curriculum, including competency-based goals and objectives for each assignment and each level of training; create and edit departmental residency training manual. Ensure current and complete data on resident procedural experience, including those recorded in ACGME Case Logs and the New Innovations Procedure Logger module. Collect summative, competency-based evaluations and a list of all rotations completed from the previous program for any resident who transfers into the program, and provide these materials to the new program for any resident who transfers out of the institution. Develop and maintain program letters of agreement for all required rotations at outside institutions. Prepare for internal reviews of the program as directed by the GME Office. Perform other related duties as assigned. Qualifications Bachelor’s degree or equivalent experience. Three years of administrative experience in a medical and/or academic setting. Certified as TAGME (Training Administrators of Graduate Medical Education) preferred. Non‑Bargaining Unit, 857 – Rehabilitation and Human Performance – ISM, Icahn School of Medicine. Compensation The salary range for this role is $66,482.07 – $85,000 annually. Actual salaries depend on a variety of factors, including experience, education, and operational need.
