Medical Malpractice Litigation Secretary

We are seeking an experienced Medical Malpractice Litigation Secretary to provide comprehensive support to a busy litigation team handling complex medical malpractice matters. This role is critical to the successful management of cases from intake through trial and resolution. The ideal candidate will have strong litigation experience, exceptional organizational skills, and the ability to manage sensitive information with professionalism and discretion.

Responsibilities

Case Management

• Support attorneys throughout all phases of medical malpractice litigation, from case inception through trial and settlement.
• Maintain and organize electronic and physical case files.
• Prepare, organize, and manage discovery materials and litigation documents.
• Coordinate with medical experts, witnesses, vendors, and third parties as needed.
• Monitor case deadlines and ensure timely completion of tasks.

Legal Document Preparation

• Draft, revise, proofread, and file pleadings, motions, subpoenas, discovery documents, affidavits, and correspondence.
• Prepare case summaries, trial exhibits, and hearing materials for attorney review.
• Assist with court filings in state and federal courts, including e-filing.

Calendar and Scheduling Management

• Manage attorney calendars and track litigation deadlines.
• Coordinate depositions, hearings, mediations, expert consultations, and client meetings.
• Ensure all scheduling details and deadlines are accurately maintained.

Client and Court Communications

• Serve as a liaison between attorneys, clients, court personnel, experts, and opposing counsel.
• Handle incoming and outgoing correspondence with professionalism and confidentiality.
• Respond promptly to requests and provide updates as directed by attorneys.

Billing and Administrative Support

• Assist with time entry, billing, and preparation of client invoices.
• Maintain accurate records and support administrative functions related to case management.

Trial Preparation

• Organize trial binders, exhibits, witness files, and hearing materials.
• Coordinate logistics for trial and deposition preparation.
• Provide litigation support during trial, including document management and retrieval.

Qualifications

Required

• Minimum 5 years of litigation secretary experience, ideally supporting medical malpractice or complex civil litigation matters.
• Strong understanding of litigation procedures, court rules, and filing requirements.
• Familiarity with medical terminology and medical records.
• Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
• Experience with legal case management and document management software.
• Excellent written and verbal communication skills.
• Strong attention to detail and ability to manage multiple priorities in a deadline-driven environment.
• Ability to maintain confidentiality and exercise sound judgment.

Preferred

• Experience in a high-volume law firm environment.
• Knowledge of state and federal court filing procedures and e-filing systems.
• Experience obtaining, reviewing, and organizing medical records.
• Legal Secretary Certificate or related legal education is a plus.
