Office Administrator

$20 - $25 per hour

Overview VTG is seeking an Office Administrator to provide administrative support to our team in Washington, DC. The position is 100% onsite. Responsibilities Maintain a welcoming, comfortable, organized environment for employees and visitors, including ensuring all visitors sign in and are issued a badge, and maintaining a professional entryway and common areas. Answer all phone calls, screen and direct calls accordingly. Purchase and maintain inventory of office supplies (from paper to food) for multiple office locations, including online ordering through databases and sources and tracking usage to identify opportunities to improve purchasing efficiency. Provide administrative support to senior staff and others as directed in a fast-moving, ever-changing environment, with familiarity of applications such as MS Word, Excel, PowerPoint, SharePoint, and MS Teams. Maintain multiple conference room calendars and communicate space events to leadership; provide resources for meetings (e.g., placards, agendas, signs). Administer the company's parking and transportation benefit program, including processing requests, maintaining records, and serving as a point of contact for employee questions. Support planning and execution of employee engagement initiatives, recognition programs, and company events by assisting with logistics, communications, and coordination. Work closely with Building Manager, Engineer, and Security to maintain a safe and efficient workspace. Coordinate the distribution of facility-related communications to employees, including office closures, maintenance notices, safety updates, visitor procedures, and other workplace announcements for both on-site and remote team members. Manage Telcon accounts and collaborate with PMs to assign and distribute Telcon lines. Attend meetings as appropriate to foster process improvement or enhance communication across personnel. Support the recruitment process as needed. Required Skills Bachelor's degree or 3+ years of relevant experience may be substituted for a degree. Positive attitude with excellent customer service skills. Strong work ethic and ability to thrive in a fast-paced environment. Excellent interpersonal and customer service skills with a professional and welcoming demeanor. Strong verbal and written communication skills. Exceptional organizational skills and attention to detail. Effective time management skills with the ability to prioritize competing tasks. Ability to work independently while collaborating effectively with a team. Demonstrated initiative and a proactive approach to problem solving. Ability to maintain confidentiality and exercise discretion when handling sensitive information. Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint). Must be a US citizen. Ability to obtain and maintain a DoD Security Clearance. Preferred Skills Previous administrative, office coordination, or Human Resources support experience. Experience supporting employee engagement activities, onboarding, or office events. Previous experience in a government contracting or professional services environment. Pay Range: VTG’s estimated starting pay range is $20.00-$25.00/hour, a general guideline for the geographic location. When extending an offer, VTG also considers work experience, education, skill level, market considerations, and may include contractual requirements which may cause an offer to fall outside of this range. #J-18808-Ljbffr
