Staffing Coordinator – Private Duty Home Care

Location: Washington, DC
Compensation: $60,000–$70,000 base salary, depending on experience
Job Type: Full-Time | In Office
Schedule: Monday–Friday, 8:00 AM–4:00 PM or 9:00 AM–5:00 PM
On-Call: None

About the Opportunity

Our client, an established private duty home care provider, is seeking a Staffing Coordinator to manage caregiver scheduling for clients throughout Maryland and Washington, DC .

This position focuses exclusively on staffing caregivers, matching them with clients, maintaining accurate schedules, and ensuring consistent coverage. The ideal candidate has direct experience scheduling caregivers within a private duty home care agency and understands how to balance client needs, caregiver availability, and last-minute schedule changes.

This is an in-office position with a Monday–Friday schedule and no on-call responsibilities .

Key Responsibilities

• Develop and maintain caregiver schedules for private duty home care clients throughout Maryland and Washington, DC.
• Match caregivers with clients based on care needs, caregiver qualifications, experience, availability, and compatibility.
• Fill open shifts and respond promptly to call-outs, cancellations, and changes in client service needs during scheduled business hours.
• Communicate scheduling assignments and changes clearly to caregivers, clients, families, and internal team members.
• Maintain accurate caregiver availability, client schedules, shift assignments, and scheduling notes in the agency’s scheduling system.
• Confirm caregivers meet applicable credentialing and compliance requirements before assigning shifts.
• Review timekeeping records, address discrepancies, and coordinate schedule updates to support accurate payroll and billing.
• Build strong relationships with caregivers to encourage reliability, engagement, and continuity of care.
• Document scheduling concerns, identify recurring coverage challenges, and escalate issues to management when needed.
• Coordinate with office staff to keep schedules aligned with client care plans and service requirements.

Qualifications

• Prior experience staffing and scheduling private duty caregivers within a private duty home care agency is required.
• Experience managing caregiver availability, filling open shifts, handling call-outs, and coordinating ongoing client coverage.
• Proficiency using an online scheduling system and maintaining accurate electronic records.
• Strong organizational skills with the ability to manage multiple schedules and changing priorities.
• Clear, professional written and verbal communication skills.
• Ability to remain calm, resourceful, and responsive in a fast-paced scheduling environment.
• Strong attention to detail, follow-through, and problem-solving skills.
• Bachelor’s degree in a related field or equivalent relevant experience.
