Job Overview: Office Administrator:

We are seeking a highly organized and proactive Office Administrator to join our dynamic team. This role is essential in ensuring the smooth operation of daily office functions, providing exceptional administrative support, and maintaining an efficient work environment. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with various office management tools. Responsibilities: Office Administrator:
  • Manage front desk operations, greeting visitors and directing inquiries with professionalism and courtesy
  • Oversee multi-line phone systems, answering calls promptly and routing messages accurately
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry and bookkeeping tasks using QuickBooks and other accounting software to support financial accuracy
  • Schedule appointments, manage calendars, and coordinate meetings efficiently for staff and clients
  • Provide exceptional customer support via phone, email, or in person, addressing inquiries with clarity and professionalism
  • Handle clerical duties such as proofreading documents, preparing correspondence, and maintaining office supplies
  • Support office management activities including organizing files, processing invoices, and managing office equipment
  • Utilize Google Workspace and Microsoft Office applications to create reports, presentations, and spreadsheets
  • Ensure proper phone etiquette is maintained at all times while managing complex multi-line systems
Skills: Office Administrator:
  • Proven experience in office management or administrative roles with strong clerical skills
  • Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills coupled with high computer literacy for efficient data entry and document preparation
  • Bilingual abilities are preferred to serve diverse client needs effectively
  • Experience in customer service or customer support roles with a focus on professional communication
  • Knowledge of front desk procedures, phone etiquette, and multi-line phone systems management
  • Familiarity with medical or dental receptionist duties is advantageous but not required
  • Personal assistant or calendar management experience is beneficial for coordinating schedules efficiently
  • Ability to proofread documents meticulously while maintaining attention to detail
