Location: Santa Clara, CA (100% Onsite) Compensation: $38.00 $45.00 / Hour Structure: Indefinite Part-Time Employee (Direct Hire)

The Opportunity

We are seeking a Workplace Coordinator to be the heart of our employee experience and the face of our Santa Clara headquarters. This isn't just a front-desk role; you are the architect of a first-class, engaging work environment. We need a friendly, professional "go-getter" with an infectious personality and a passion for customer service to ensure our office remains a highly effective space for our team and guests.

Schedule & Flexibility

• Core Hours: ~25 hours per week, Monday through Thursday.
• Standard Shift: Monday Wednesday (9:00 AM 2:30 PM) | Thursday (Full 8 hours: 9:00 AM 5:00 PM).
• Flexibility Required: Candidate must have an adaptable schedule to work more hours or change days based on office needs, events, and occasional urgent operational issues.
• Note: We are looking for candidates without strict schedule limitations (e.g., fixed school commitments) to ensure seamless office coverage.

What You'll Do

• First Impressions: Serve as the primary point of contact for visitors and employees, providing a warm welcome and conducting onsite office tours.
• Operational Logistics: Oversee daily mail/package distribution, shipping services, and the employee lunch program/vendor relations.
• Office Stewardship: Procure all office supplies, maintain the onsite Demo Lab, and ensure workstations are "Day 1 Ready" for new hire onboarding.
• Events & Engagement: Plan and execute in-office culture events, including happy hours, holiday activities, and internal gatherings.
• Facilities Support: Assist the Facilities Manager with vendor coordination, A/V meeting setup, and monitoring office cleanliness/janitorial collaboration.

The Ideal Candidate

• Experience: Not entry-level; must have prior relevant experience in Hospitality, Office Support, or high-touch Customer Service.
• Technical Savvy: Proficiency with Mac computers, Microsoft Excel, and the ability to learn internal systems (badge/security) quickly.
• Mindset: A proactive, forward-looking thinker who identifies process improvements (e.g., mail flow, inventory systems) before being asked.
• Professionalism: Comfortable interacting with executives and handling confidential or sensitive workplace needs with sound judgment.

The Interview Process

1. 1st Round: 30-minute virtual interview.
2. 2nd Round: Onsite interviews with the Leadership team and the Facilities Lead (Benito) to ensure team fit.
