Assistant Project Manager

Job Description The Assistant Project Manager will be responsible for independently completing work order assessments, managing small capital projects up to $1M, and may provide support to Senior Project Managers and Project Managers for larger projects. The role involves frequent interaction with clients, consultants, and contractors to ensure project delivery meets financial and scheduled targets. The APM will lead small capital projects and/or components of larger projects, overseeing all phases of construction, coordinating activities to meet cost, schedule, document control, and quality standards, and ensuring client satisfaction. Responsibilities Initial phase of estimating support: review approved drawings and develop requisitions for material purchases. Prepare job start‑up and close‑out checklists. Create and maintain project budgets. Produce project timelines, communicate with subcontractors and customers to track job progress, process RFIs and submittals, and manage change orders, purchase requests, and procurement. Solicit, evaluate, and select architects, contractors, and other consultants/vendors. Issue contracts and purchase orders. Verify material procurement and scope of work before production. Track and submit RFIs and change orders. Analyze, monitor, and prepare cost exposure reports and cash flow projections; maintain comprehensive budgets and schedules and manage day‑to‑day project activities. Review pay applications and invoices from contractors, architects, and vendors, assisting in prompt processing and payment. For projects greater than $5M, perform daily assignments, participate in monthly staff meetings, and attend all project meetings, taking minutes and distributing them to the team. Prepare all RFP/bid packages and support the bid process. Process all submittals, requests for information, shop drawings, change proposals, and change orders. Prepare daily, weekly, and monthly reports detailing project status. Ensure agreements, insurance certificates, bonds, and other documents are executed accurately. Review change proposals from architects, contractors, and other consultants/vendors prior to approval by Senior Project Manager and/or Project Manager. Develop estimates and budgets for assigned projects. Prepare monthly job status reports and participate in the preparation of project risk analysis. Qualifications Bachelor's degree in a related area and 3‑5 years of relevant experience or equivalent experience/training. 1‑3 years of experience in project management or on a Design & Construction project team. Thorough project management skills, including the ability to manage complex projects. Strong problem recognition, avoidance, and resolution skills. Excellent organizational and analytical skills, with detail orientation to accurately proof contracts and other documents. Strong written, verbal, and interpersonal communication skills with high political acumen. Preferred Qualifications Comprehensive knowledge of building and construction, design, construction contract administration, and California Building Codes, including industry practices. Deep understanding of the organization’s infrastructure and short‑ and long‑range strategic building plans.
