To assist the District Commander in fulfilling his/her administrative and operational responsibilities and maintain efficient and effective district operations. To provide administrative services to all District 2500 personnel by procuring supplies and equipment and coordinating the efforts of the clerical personnel. This position performs the purchasing functions for the State Patrol, District 2500. The purchases include supplies, equipment, purchased services, and service contracts. All purchases must be processed within the Department of Administation and Minnesota Management and Budget guidelines and time frames. This position is responsible for data requests, suspense files, record managment, special expense forms, answering phones as necessary, and providing backup and assistance to other office positions as directed by supervisory personnel. Minimum Qualifications Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify and protect files. Skill in word processing sufficient to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors Knowledge of the structure and purpose of policies and procedures sufficient to develop and use them in a public sector environment. Skill in accounting sufficient to reconcile differences between invoices, receipts and purchase orders, and assess needs based on data and events affecting the account. Skill in customer service to respond effectively to clients, coworkers, and customers who have questions about agency operations and procedures (in person, in writing, on the phone, and through presentations and other electronic correspondence). Ability to fluently communicate, read, understand, and respond to a variety of communications, such as customers’ questions, product catalogs, requisitions, purchase orders, detailed instructions and procedures, inventory records, and distribution lists Preferred Qualifications Experience with GovQA, NetViewer, SWIFT, M5, SmartSheet and other programming used by the Minnesota State Patrol. Experience with database management and multi-line telephone systems. Demonstrated experience in learning new systems, workflow efficiency, communication and record management. Ability to work cooperatively with individuals from diverse backgrounds and underserved communities Physical Requirements Requires occasionally moving and transporting such articles as file folders and small tools. May need to maintain a stationary position for long periods of time while carrying out job duties.
