Executive Assistant, Chief Strategy Officer

Job Details Role: Executive Assistant, Chief Strategy Officer Department: Enterprise Strategy and Partnerships Location: Virginia Beach, VA (Hybrid – onsite presence required) General Description The Executive Assistant to the Chief of Strategy and Partnerships provides administrative and clerical support to the Chief Strategy Officer, the Chief Development Officer, and the Senior Vice President of Global Marketing & Strategy. Essential Functions Maintain CSO’s schedule of meetings and events, prepare travel including international documentation requirements, and provide regular scheduling updates to staff members. Attend meetings as required to take notes or support the Chief of Strategy and Partnerships. Partner with the Chief Strategy Officer to prepare briefing materials, agendas, and contextual insights, ensuring readiness for strategic meetings, initiatives, and stakeholder engagements. Coordinate monthly Enterprise Strategy and Partnerships Meetings and assist with the planning of additional meetings. Respond to requests for information on behalf of the Chief of Strategy and Partnerships and properly direct current and potential donor inquiries. Manage and support event planning at HQ as needed, organizing facilities, catering, entertainment, transportation, locations, invitee lists, special guests, equipment, and related logistics. Assist with department budget and expense tracking. Prepare expense reports, purchase orders, variance reports, timesheets, and check requests in accordance with Finance Department guidelines. Provide all office support for the Chief of Strategy and Partnerships, including maintaining supplies, processing department mail, and managing email. Perform other jobs and special projects requested by the Chief of Strategy and Partnerships to assist her in staying efficient. Maintain strict confidentiality of personal and organizational business. Serve as the point of contact between executives and internal or external colleagues. Assist other senior executives and officers when asked. Additional duties as necessary. Ability to work after 5pm, 3–4 days a week. Qualifications Experience Required : Bachelor degree; at least five years of high‑level administrative support experience. Characteristics / Skills Required : Proficiency with the Microsoft Office suite (Word, Excel, PowerPoint). Proficiency with Raiser's Edge (distinct plus). Familiarity with budget templates. Well‑organized, proficient multitasker. Independent self‑starter. Ability to prioritize and meet deadlines. Articulate communicator. Comfortable corresponding and interacting with C‑Suite level executives internally and externally. Ability to communicate effectively with people across cultures, ranges of ability, genders, ethnicities, and races. Exceptional writing and interpersonal skills. Proactive, anticipating the next action, and able to work with minimal instruction. Passion for the Operation Smile mission. Positive attitude and sense of humor important. Experience in a nonprofit development office a plus. Compensation Operation Smile is committed to pay transparency.
