POSITION TITLE: Concierge for Physicians Coordinator 

REPORTS TO: Call Center Manager and Concierge Supervisor 

DEPARTMENT: Marketing 

FLSA STATUS: Non-Exempt 

Position Summary

The Concierge for Physicians provides administrative, scheduling, and referral coordination support for physicians. This role serves as a liaison between physicians, patients, and hospital departments to ensure timely communication, efficient scheduling, and exceptional patient service.

Work Location

The Concierge for Physicians may be assigned to work within the Call Center and/or at affiliated physician practice locations as needed to support operational and physician needs.

Essential Responsibilities

• Coordinate physician schedules, referrals, and patient appointments.
• Schedule, reschedule, and cancel appointments as needed.
• Communicate scheduling updates to physicians, patients, and departments.
• Maintain accurate referral and appointment records.
• Monitor referral status and assist with patient follow-up.
• Serve as a point of contact between physicians and hospital departments.
• Assist with referrals, authorizations, imaging requests, and administrative tasks.
• Utilize ECW and other systems to verify and update patient information.
• Maintain confidentiality and HIPAA compliance.

Qualifications

• Must be fluent in English and Spanish

• Must have basic experience with main frame computers

• Knowledge of medical terminology
• Healthcare scheduling, physician support, or administrative experience preferred.
• Experience with ECW or other EMR systems preferred.
• Must have excellent customer service skills

Education, Experience and Certification/Licensure Requirements

• High School Diploma or equivalent required.
• Must have basic experience with main frame computers
