Assistant Operations Manager

NYU Grossman School of Medicine, part of NYU Langone Health, is a leading medical institution focused on education, research, and patient care. Position Summary We have an exciting opportunity to join our team as an Assistant Operations Manager. In this role, the successful candidate reports to the Associate Director of Operations and provides critical assistance and management with operational responsibilities as needed. The role acts as a manager in the manager’s absence, providing support, guidance, and oversight of departmental operations, including business and marketing. Responsibilities include oversight of marketing development, communications, projections, forecasts, budgets, reporting, and special media and marketing projects. The individual generates, analyzes, and distributes reports vital to decision‑making for departmental leadership and management, supports Department of Neurosurgery missions, collaborates with Finance and Marketing, and prepares annual budgets with SOM corporate groups. Job Responsibilities Performs other duties as assigned. Demonstrates knowledge of the organization’s core values and customer‑service principles, integrating them into duties. Prepares and processes special projects, coordinates and prepares month‑end journal entries and supporting documentation for upload. Prepares monthly and biweekly supplemental compensation transactions and incentive bonus requests for the Faculty Group Practice and Neurosurgery. Acts as a liaison with Payroll regarding faculty supplemental compensation and incentive bonus payments. Serves as backup for the Business Manager and for FGP and cash‑management processes as needed; interacts with NYU Hospitals Center regarding FGP pass‑through expenses. Works closely with FGP and departmental leadership to prepare annual budgets. Builds analytical clinical databases for departmental metrics. Resolves financial issues, including budgets, variances, and new needs requests. Provides support for FGP Practice Managers and Administration for investigation, follow‑up, and analysis. Reviews recorded transactions and reports irregularities to management. Prepares accounts‑receivable and vacancy reports. Makes collection calls, follows up, and tracks IOI expenses. Produces ad hoc reports requested by the Business Manager, Administrator, and FGP leadership. Oversees department‑focused social media channels in collaboration with NYULH communications and marketing teams. Develops and executes marketing and advertisement content plans. Collaborates with C&M on content ideas. Manages internal communications from the chair, including departmental newsletters and quarterly complex case reports. Organizes and supports the Department of Neurosurgery’s presence at all major academic conferences. Collaborates with C&M to support peer outreach efforts. Coordinates departmental events and internal/external conferences. Manages department‑specific web content on EDU and faculty FAD profiles. Minimum Qualifications • Bachelors Degree with 2+ years of relevant experience in the health‑care field and/or an equivalent combination of education and experience. • Written and oral communication skills. • Excellent organizational skills and ability to prioritize multiple tasks, projects, and assignments. • Exceptional attention to detail and accuracy. • Ability to work well in a team environment, maintain confidentiality, and work independently. • Ability to take initiative and exercise sound judgment, decision making, and problem solving. • Strong computer skills, including basic keyboarding and proficiency with Microsoft Office Suite (Word, Excel, Outlook). • Proven customer‑service skills. • Self‑directed, motivated, and sensitive to deadlines. Preferred Qualifications • Master’s degree or equivalent. • Previous management or supervisory experience of at least 1‑2 years. Salary Transparency NYU Langone Health complies with New York State Law on Salary Transparency. The salary range for this role is $70,481.60 – $121,580.64 annually. Actual salaries depend on experience, specialty, education, and hospital needs and do not include bonuses or other compensation.
