Job Title: Operations & Contract Administration Specialist

Role Overview
We are seeking an Operations & Contract Administration Specialist to serve as the operational backbone of our procurement and sourcing teams. This is a high-volume execution role for a detail-oriented professional who excels at managing document workflows, maintaining database integrity, and leveraging modern technology-including AI-to automate repetitive administrative tasks.
In this role, you will be responsible for the "full lifecycle" of our contract documentation, from finalization and signature execution to repository management and renewal tracking. You will serve as a key partner to our sourcing managers, ensuring that data is clean, documentation is organized, and administrative bottlenecks are minimized. Key Responsibilities
Contract & Document Administration
• Lifecycle Execution: Support the full administrative lifecycle of contracts, including document finalization, signature routing, and repository management.
• Database Stewardship: Maintain a high-integrity contract database. Ensure that supplier information, expiration dates, and metadata are accurate and up-to-date to support seamless renewal tracking and auditing.
• Workflow Management: Coordinate DocuSign workflows, ensuring timely approvals and tracking progress across multiple sourcing activities.

Operations & Process Enablement
• Data Quality & Analysis: Assist with spend-data cleaning and taxonomy application. Ensure our internal procurement hubs are accurate and reflect real-time business activity.
• AI-Enabled Efficiency: Proactively utilize AI-driven tools to assist with document summaries, data validation, and process automation. You will be expected to explore new ways to leverage technology to eliminate manual data entry.
• Team Support: Provide administrative and category support to multiple managers. Assist with RFP coordination, scheduling, and tracking milestones for non-P2P sourcing projects.

Qualifications & Requirements
Minimum Qualifications
• Experience Baseline: 3-5 years of professional experience in operations, contracts administration, or legal/procurement support roles.
• Technical Proficiency: High level of comfort with digital signature platforms and document management systems.
• Tech-Forward Mindset: Demonstrated comfort using AI tools and productivity software to support day-to-day work.
• Analytical Detail: Strong attention to detail and ability to maintain data integrity across multiple, concurrent project streams.

Preferred Attributes
• Prior exposure to procurement, sourcing, or complex administrative environments.
• Experience in data cleaning, taxonomy management, or working with large-scale contract databases.
• Exceptional communication skills-the ability to coordinate effectively with diverse stakeholders and ensure project deadlines are met.
