We are seeking a highly organized and proactive part‑time, temporary Administrative Support Specialist to cover a maternity leave, starting immediately and running through the end of February. There is a possibility of extension for the right candidate. This is an exciting opportunity to gain valuable experience and contribute to the Interstate Bridge Replacement (IBR) program. What You’ll Do + Your Impact You’ll be the backbone of our office and executive support, ensuring smooth daily operations. Office Management: Keep our office running efficiently—managing supplies, ensuring our Snack Club is stocked, maintaining communal areas, and assisting with room reservations (Skedda). Meeting & Event Support: Greet visitors, ensure meeting spaces are reset, assist with room setup/AV, and prep for larger events like the bi‑monthly IBR Office Lunches. Executive Assistance: Provide daily support to a key executive, including constantly managing and updating dual calendars (IBR & WSP), coordinating travel, and processing expense reports and bills. What You’ll Bring Exceptional organizational skills and a proactive, detail‑oriented approach. Ability to manage multiple calendars and anticipate scheduling conflicts. Experience with travel booking (flights, trains, etc.) and processing expense reports. A friendly, professional demeanor for greeting team members and visitors.
