Client Services Manager

Position Overview We are seeking a detail-oriented, hardworking, and business-minded professional to join our team as a Client Services Manager. In this role, you will be the face of our firm and a vital backbone for our daily operations, providing general administrative support and exceptional customer service to our clients and Financial Advisors. The ideal candidate possesses a positive attitude, thrives on team collaboration, and is motivated to facilitate client growth. A background in financial services or client relations is highly preferred. Primary Responsibilities Client Relations & Front Office: Answer phones, greet clients warmly upon arrival, and seamlessly route inquiries to advisors. Account Servicing: Professionally handle client requests within capacity; directly manage core operations including opening/maintaining accounts, preparing/processing paperwork, and routing deposits, withdrawals, checks, wires, and transfers. Compliance & Data Management: File and upload signed applications and forms, paperwork, client statements, correspondence, and checks according to industry and compliance requirements. Advisor Support: Track and resolve outstanding tasks, keep advisors updated on pending items, and actively help prepare for upcoming client meetings. Operations & Tech Navigation: Maintain accurate, up-to-date client records across our core internal platforms, including our account viewing systems, Outlook, and CRM database. Learn and utilize multiple broker/dealer and external investment data platforms. Industry Communications: Regularly review the Broker/Dealer's news items, technology updates, and administrative communications, reporting pertinent updates back to the advisors. General Office Support: Prepare outgoing mail, manage office logistics, and track/order all office supplies. Qualifications Experience: Proven experience in an administrative support or office management role (experience or strong interest in the Financial Services, banking, or wealth management industries is highly preferred). Professional Demeanor: Excellent verbal/written communication and interpersonal skills, with the ability to interact comfortably with clients, vendors, and internal departments. Technical Savvy: Proficiency in Microsoft Office Suite (Outlook, Word, and Excel) and a demonstrated ability to learn complex, data-secured software platforms. Organization & Accuracy: Sharp attention to detail, strong time-management habits, and the capability to track multi-step pending tasks through to completion.
