Summary Under the supervision of the Nursing Director and as a member of the Unit Based Patient Care Team, the unit secretary performs a wide range of secretarial duties and coordinates unit/floor procedure to ensure professional and efficient operation of the department in providing quality patient care. Responsibilities include answering unit phones, collaborating with health‑care team members and other departments, scheduling patient tests and appointments, maintaining medical records, initiating and tracking unit requests, coordinating discharges, transfers, and admissions proactively to assure efficient operation and management of resources on the unit. Demonstrate the knowledge and skills necessary to provide indirect patient‑family centered care appropriate to the age of the patients served on assigned unit. Responsible for receiving visitors and responding to needs of patients and family members. Essential Functions Provision of a Safe Environment – Assist in maintaining a safe environment and intervene appropriately; identify and initiate follow up for any safety issue; utilize judgment in implementing physician orders safely; notify charge nurse immediately of any concerns. Service – Ensure patient and family member’s needs and expectations are met in a timely and caring manner; maintain C.A.R.E. standards with focus on communication, appearance and respect; work collaboratively as a member of the Patient Care Team and take a proactive role in ensuring the smooth and efficient operation of the unit. Organizational Ethics – Maintain and promote the mission and values of the organization; maintain confidentiality of all patient information; respect and support a culturally diverse staff and patient population; utilize proper procedures to address patient or family concerns by notifying the Nursing Director/supervisor or clinical leader. Management of Resources/supplies and unit based needs – Order, expedite and distribute unit, clerical and patient care supplies as directed by the Nursing Director; maintain work area and office equipment in neat and functioning order; initiate and track appropriate Facilities, Bio Med, Housekeeping, and IT related problems/replacements/requests or work orders; notify Biomed department of malfunctioning equipment and arrange repair requests. Management of Information – Answer, coordinate and manage all phone calls to the unit; take accurate messages and ensure their delivery to appropriate staff promptly; participate in shift‑to‑shift handoff communication; coordinate and notify staff regarding all paperwork coming onto the unit including fax referrals; maintain all patient medical records per hospital policies in a neat and orderly manner; schedule patient diagnostic tests, appointments, and consults; coordinate logistics of patient discharge including transportation, equipment, etc.; perform clerical duties to admit, transfer, and discharge patients with the bed management system; enter or update data reports such as bed management system, diet order sheets, advance care directives, medication reconciliation, and billing information; manage Meditech system activities. Collaborative Interdisciplinary Care – Interact with all members of the healthcare team to provide interdisciplinary patient family centered care; answer patient call lights and communicate patient requests to appropriate clinical staff; provide clerical support to unit staff; float to other pods or units as requested; respond to staffing needs by cross‑training and floating to other units; attend staff meetings and read meeting minutes; attend the annual Safety Fair. Quality Improvement – Understand unit specific quality indicators; participate in Quality Improvement Projects and Committees as directed; participate in Service, Excellence, and Quality (SEAQ) programs such as Falls Team, Patient Safety Committee, Pain Management Team. Qualifications Education – High School Diploma or Equivalent required; Associate’s Degree preferred. No experience can be accepted in lieu of a degree. Experience – 1–2 years preferred in a medical or customer service setting; knowledge of medical terminology preferred. Licenses and Credentials – Must have computer knowledge of Microsoft Office strongly. Knowledge, Skills and Abilities – Excellent interpersonal skills; ability to work as a team member; work under stressful conditions; work independently with strong organization skills; verbal and written communication; flexibility and willingness to adapt; ability to provide indirect care appropriate to age range adolescent to geriatric; sit/stand extended period; lift and carry up to 20 lbs; assist transportation; customer service skills.
