Unit Secretary BWFH

Mass General Brigham

Job Summary Under the supervision of the Nursing Director and as a member of the Unit Based Patient Care Team, the unit secretary performs a wide range of secretarial duties and coordinates unit/floor procedures to ensure professional and efficient operation of the department in providing quality patient care. Essential Functions Provision of a Safe Environment – Assist in maintaining a safe environment and intervene appropriately; identify and initiate follow‑up for safety issues; utilize judgment when implementing physician orders and notify the charge nurse of concerns. Service – Ensure patient and family needs and expectations are met in a timely and caring manner; maintain the C.A.R.E. standards with a focus on communication, appearance, and respect; work collaboratively as a member of the patient‑care team and take a proactive role in ensuring smooth operation of the unit. Organizational Ethics – Maintain and promote the organization’s mission and values; maintain confidentiality of all patient information; respect and support a culturally diverse staff and patient population; address concerns through proper procedures. Management of Resources / Supplies and Unit Needs – Order, expedite, and distribute supplies; maintain work area and office equipment; initiate and track facilities, biomedical, housekeeping, and IT requests; notify departments for repairs; assist with unit projects; liaise with ancillary services and other departments. Management of Information – Answer, coordinate, and manage all phone calls; facilitate shift‑to‑shift handoff; coordinate and notify staff regarding paperwork and fax referrals; maintain patient medical records per hospital policies; schedule diagnostic tests, appointments, and consults; coordinate patient discharge logistics; perform clerical duties for admissions, transfers, and discharges; document bed management, diet orders, advance care directives, medication reconciliation, quadramed assignment, and recovery charges; update charge nurse of admissions, discharges, and transfers. Collaborative Interdisciplinary Care – Interact with all health‑care team members; answer call lights; provide clerical support; float to other units as requested. Patient/Family Education – Receive and orient visitors to the unit; provide basic unit information to patients and families. Competency and Quality Improvement – Maintain compliance with unit‑specific competencies; pursue continuing education; orient new personnel; cross‑train and float as needed; attend staff meetings and read minutes; participate in quality improvement projects, committees, SEAQ programs, Falls Team, Patient Safety Committee, and Pain Management Team. Qualifications Education: High school diploma or equivalent required; associate’s degree preferred. Experience: 1‑2 years preferred in a medical or customer‑service setting. Knowledge: Medical terminology preferred; strong knowledge of Microsoft Office. Skills and Abilities: Excellent interpersonal skills for interacting with patients, visitors, and hospital personnel. Team player with a caring, collegial attitude toward fellow employees. Ability to work under stress, adapting to changing pace, frequent interruptions, emergencies, and acutely ill patients. Ability to work independently with well‑developed organizational skills to prioritize tasks. Demonstrated verbal and written communication skills to interact effectively with staff through voice mail, e‑mail, and other mediums. Flexibility and willingness to adapt to diverse roles as a member of the unit‑based patient‑care team. Knowledge and skills necessary to provide indirect care appropriate to adolescents to geriatric patients. Ability to sit and/or stand for an extended period of time; lift and carry up to 20 lbs; assist with patient transportation. Demonstrated customer service skills.
