Onsite Corporate Administrator

The Role: The Onsite Corporate Administrator will support SUSHISAMBA Los Angeles in the smooth running of the operation, including Administration, Financial and Human Resources tasks. This position is designed to support the administrative functions of Operations in the areas of Purchasing, Finance, IT, Licenses and Permits, etc., to allow our Management and Culinary teams to remain focused on providing exceptional hospitality. Key Responsibilities: Operational & Administrative Restaurant Duties Opening Restaurant / Operational walk through: review cleanliness of restaurant, outdoor/entrance areas, office, bathrooms, locker rooms, bike room, etc. and report any issues to cleaning company and GM. Review par levels of all non‑F&B items (menus, blankets, radios, headsets, business cards, sanitizer, soap, etc.). Retrieve mail and packages for distribution. Place orders for any office supplies, IT supplies, and/or non‑food or beverage restaurant supplies. Coordinate and reconcile petty cash receipts. Ensure the timecards and schedules from the previous night have been successfully reviewed and closed. Notify GM, Executive Chef, HR and VP of Operations of any non‑compliance/discrepancies. Communicate areas in need of attention to staff and follow up to ensure follow‑through and attention to detail. Participate in department meetings and continually communicate a clear and consistent message regarding the departmental goals to produce desired results. Administrator Duties Track and manage renewals for restaurant licenses and permits. Enter Approval Max requests for non‑F&B related items under the guidelines of the company DOA limits. Open IT tickets with Cloud Matters or contact local IT support company as needed. Reach out to technical support for issues that arise with software and hardware. HR Duties Assist with various HR administration tasks when required, in the absence of HRM (due vacation, etc.), such as gathering insurance enrolment forms, posting employee notices, completing requests for PTO, and supporting engagement initiatives. Coordinate company‑sponsored events. Assist and support with travel and accommodation requests as needed. Finance Duties Manage all chargebacks or receipt requests. Ensure completeness and accuracy of invoices/purchase orders in the purchasing system in Approval Max. Audit as needed any food and beverage inventory reports. Perform fixed‑asset tagging as needed. Report petty cash transactions. Ensure completeness of receipts for credit card and petty cash purposes. Assist with vendor onboarding/supplier bids (credit application, T&C, Vendor Compliance & Declaration Form, W9s). Scan finance‑relevant mail and send to Finance. What We’re Looking For: Previous experience working as an OCA (or similar) within a hospitality environment (ideally). Excellent communication skills in English, both written and verbal. Ability to maintain and follow processes and standards. Drive and ambition with the desire to learn and grow within the team. Full ownership of your role. Ability to work Monday to Friday.
