Administrative Assistant The Administrative Assistant provides administrative support to the site supervisor and facilitates day-to-day operations for students, parents, staff, community members, and vendors, including providing information and directions, managing phone calls, and preparing correspondence and copies. The job description serves as a guide for accomplishing district and site objectives and covers the primary functions and responsibilities of the position. It is not to be construed as an all-encompassing list of duties, responsibilities, and skills required. Minimum qualifications include: High school diploma or General Education Degree (GED). One year of previous office experience. Ability to operate office machines, computers, and related software such as word processing, spreadsheets, data entry, and School Messenger. Ability to develop an effective working relationship with students, staff, and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness and understanding of district requirements and Board of Education policies. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization. Ability to apply common sense and understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Essential duties and responsibilities include: Making and receiving telephone calls, taking messages, and routing calls appropriately. Greeting all visitors in a pleasant and helpful manner. Providing directions and information to school sites for visitors and vendors. Translating between Zuni and English languages as needed. Typing, preparing, distributing, and filing records, reports, and correspondence. Processing attendance and payroll for building staff. Compiling and submitting a variety of weekly, monthly, and year-end reports as required. Performing other duties as assigned, consistent with the needs of the organization. Physical functions include: Standing, sitting, talking, and listening for long periods of time. Using repetitive hand, arm, and finger motions. Reaching with hands and arms; bending and turning neck frequently. Lifting up to 30 pounds on occasion and 20 pounds frequently. Walking on even and uneven surfaces. Sitting at a computer with arms bent, typing for long periods of time. Working in an office environment with varying temperatures and noise levels. Operating vehicle and equipment with finger, hand, foot, and eye coordination. Mental functions include: Reading information in various formats, researching information, and presenting information in oral and written form. Handling interruptions and frustrations in a professional manner. Handling difficult people and difficult situations in a pleasant manner. Interacting with people in a pleasant and friendly manner. Giving directions to school sites as needed. Following district policies, procedures, rules, regulations, and processes. Reading and understanding the procedures of the Open Meetings Act, Inspection of Public Records Act, Family Educational Rights and Privacy Act (FERPA), and related laws. Essential equipment includes: Operating office equipment, including computer, scanner, printer, calculator, smart board, and phone. Operating a vehicle and holding a valid driver's license.
