Front Office Assistant

- Maintain coverage of the reception and front desk area
- Coordinate with Information Technology (IT) to ensure adequate services and equipment are available for staff
- Serve as the point-of-contact for all office matters
- Order and maintain supplies and office furniture inventory
- Draft and edit executive-level correspondence
- Create documents, reports, letters, and presentations
- Provide administrative support for projects and staff meetings
- Research governmental policies and procedures as assigned
- Assist with processing and submitting employee travel pre-approvals, provide guidance to employees, and ensure timely, accurate submissions to SMSI clients
- Support the SMSI leadership team with administrative tasks in support of ongoing business operations (time and expense management, communications, purchasing, contract management, etc.)
- Support and assist the SMSI leadership team in preparing, updating, and delivering policies, procedures, plans, reference guides, and training requirements
- 1 -2 years of administrative experience in a professional office environment
- Excellent communication skills, both oral and written
- Professional appearance and demeanor
- Experience scheduling meetings and maintaining calendars for conference rooms and the leadership team
- Advanced proficiency in Microsoft Office applications, including Teams, Word, Excel, PowerPoint, and Outlook
- Excellent organizational skills and attention to detail
- Able to multitask, work independently, and prioritize tasks efficiently
- Resourceful with strong problem-solving skills in daily administrative support
- Handles customer and visitors' interactions accurately, professionally, and promptly
- Positive and proactive collaboration and interaction with peers and team members
- Ability to handle sensitive information with discretion
- Other duties performed as assigned
- High School Diploma or equivalent
- Must be a U.S. Citizen
- Some travel may be required
- Professional environment
- Works in the Oak Ridge, TN office 5 days a week
- Weekly schedule of 30 hours per week with additional hours as needed
- Prolonged periods of standing, sitting, and walking
- May require lifting up to 15lbs
