General Responsibilities Assist the Property Manager in maintaining the physical asset and maximizing financial returns in accordance with the owner's objectives. Assist with special projects and administrative tasks. Provide services and advocacy to residents, empower them through educational programs, implement new services, address social and recreational needs, and assist families and the community in understanding the changing needs of seniors. Essential Duties Maintain cordial and professional relationships with residents, other departments, clients, vendors, and government agencies. A. Ensure the physical wellbeing of the property Supervise maintenance staff including building maintenance manager, supervisors, and contract workers during the Property Manager’s absence. Supervise scheduling of maintenance work. Supervise vacant apartment make‑ready procedures. Make recommendations for physical repairs, replacements, improvements, supplies, materials, and equipment. Recommend expenditures within budget allocations. B. Tenant Management Ensure timely payment of rents and eliminate lost revenue due to vacancies. Enforce evictions for non‑payment of rent. Prepare pre‑close and month‑end reports for the Property Manager. Exercise sound judgment regarding property expenditures. C. Leasing, Move‑in & Compliance Assist in preparation of weekly and monthly reports. Recruit, select, qualify residents and administer leases. Ensure compliance with fair housing and HUD guidelines. Conduct pre‑move‑in eligibility interviews and calculations. Prepare and send residency certification packages. Schedule recertification interviews and send notifications. Complete certification files and enter data in One Site and HUD forms. Process recertifications, retroactive rent calculations, and file audits. Identify income discrepancies and adjust rent per policy. Maintain EIV reports and resolve discrepancies. D. Administration Coordinate communication between property and corporate office. Perform duties assigned by the Property Manager. Implement HUD procedures and policies. Identify hazards and potential liabilities. Serve as on‑call representative for evening, weekend, and holiday emergencies. Assist at other properties as assigned. Resident Service Coordinator Function Establish trusting relationships with residents individually and in groups. Maintain relationships with clients, community resources, suppliers, vendors, and providers. Know available services and eligibility requirements. Advocate for residents with community organizations. Attend training and meetings related to resident services. Develop and coordinate volunteer service opportunities for frail and at‑risk residents. Educate property management team on aging in place and services coordination. Educate residents on services and resources. Plan educational programs and activities for aging in place. Inform residents of new services via mail, newsletters, and bulletin boards. Transport residents to social, health, and educational activities using the company bus. Accommodate home visits for homebound residents. Complete residential assessments and maintain secure resident files. Submit HUD semi‑annual and monthly residential services reports. Maintain involvement and certification with service coordinator vendors.
