Provides services as a resource contact disseminating information on rules, regulations, procedures, and statutes. Job Description The School of Molecular Sciences is seeking a Department HR Specialist who will assist and perform work of considerable responsibility under the guidance and supervision of the HR Assistant Director. The successful candidate will assist with the human resource functions and be skilled in handling confidential and sensitive information, and work effectively in an environment subject to quickly changing priorities and short deadlines. Salary Range $52,000-57,000 per year; DOE Essential Duties Manage the recruitment and hiring process for all student worker hires, serving as the primary contact for hiring and managing the hourly student grader employee base to monitor hours worked, confirm active student enrollment status, and monitor out-of-state remote student workers. Manage the hiring and appointments of Graduate RA/TA, developing and maintaining a close and positive working relationship with the staff Manager of Graduate Academic Advising and the Faculty Associate Director of Graduate Studies. Assist with processing Visas (J1 and H1B), working directly with ISSC to resolve issues and coordinate deadlines. Track and monitor time reporting for professional staff and student workers to ensure timely and accurate entry and approvals in Workday. Perform routine payroll redistributions (PAA), working closely with the Business and/or Research Operations team. Assist with payroll reconciliations and internal and external audit requests. Maintain and retain appropriate hard and electronic personnel files. Develop and update internal process guides to ensure consistency with changes in procedures and practices. Assist with any other special projects, reports, and duties as assigned by the HR Director to ensure continually efficient operations of the School to meet customer service needs. Desired Qualifications Experience working with Workday. Ability to coordinate multiple tasks, prioritize effectively, and work independently. Demonstrate knowledge of international visa requirements. Demonstrate knowledge of quality customer service standards, methods and practices. Experience using Microsoft Office applications and Adobe products to create spreadsheets, forms and letters. Experience working effectively and collaboratively in a team, as well as with faculty, staff and students. Experience using DocuSign. Evidence of effective communication across all levels of the organization to build and sustain relationships. Strong written and verbal communication skills using various communication mediums such as email, phone, Slack, Teams, and Zoom. Ability to quickly change priorities which may include and/or be subject to resolution of conflicts. Working Environment Activities are performed in an environmentally controlled office setting: 75% sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances (~10%). Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (~5%). Regular use of standard office equipment including computer workstation/laptop, printer, fax, calculator, copier, and telephone.
