HR Specialist Senior

This is the job posting for an HR Services Specialist 3 position, which falls under the HR Services family. The role is a full‑time position with a maximum pay of $68,400 USD per year. Minimum Qualifications: Bachelor's degree and five (5) years of relevant experience, or an equivalent combination of experience and training that demonstrates comparable knowledge, skills, and abilities. Salary Range: $55,000 – $68,400 per year; DOE. Essential Duties Processes a heavy volume of payroll transactions and activities for new and existing employees which includes onboarding, creating offer letters, profile management, visas and terminations. Manages academic and non‑academic hires, renewals, and terminations. Identifies overpayments/underpayments, processes and approves payroll corrections. Addresses inquiries from staff and students regarding HR processes, payroll, benefits, and HR policies, providing accurate and timely resolutions. Ensures timely and accurate biweekly time entry by sending reminders, reviewing submissions, and resolving discrepancies prior to final processing. Processes payroll transactions for employees and oversees payroll functions, ensuring accuracy in payroll information, funding changes, and bi‑weekly reviews while investigating discrepancies to ensure timely employee payments. Recommends or participates in the development of new procedures or reviews existing internal procedures, and assists in implementation. Assists with the hiring of faculty associates and instructional positions each semester. Monitors orientation of new employees and coordinates benefits. Assists in managing human resource processes, procedures, internal controls, and payroll quality for The Polytechnic School. May assist with personnel searches including applicant evaluation and hiring. Coordinates and processes visa applications for employees and non‑employees. Assists in overseeing, managing, and participating in internal and external audit requests; prepares audit documents. Resolves and investigates payroll discrepancies using reporting tools (Analytics, Workday) and acts as a liaison between TPS, FSE, ASU Human Resources, and Financial Services. Administers graduate and student worker hires and renewals. Performs additional duties as assigned to ensure continuity of department operations and meet customer service needs. Displays clear verbal, written, and interpersonal communication skills. Works independently and within a complex structured team, following standard guidelines and specific directions for new assignments. Exercises judgment within defined procedures and practices to determine appropriate action. Desired Qualifications Experience in a high‑volume environment managing multiple tasks and priorities; payroll, record keeping; ensuring adherence with policies, practices, and regulations. Experience providing HR support in a higher education environment. Experience in processing and managing H‑1B, O‑1, E3, and J1 visas. Experience using HCM Workday system and CS PeopleSoft. Demonstrated knowledge of electronic data processing as it applies to human resources/fiscal automated applications. Knowledge of AI‑based generative tools for office workflow process productivity. Experience planning and establishing priorities. Experience developing and maintaining cooperative working relationships across organizational areas. Experience working effectively and collaboratively with faculty, staff, and students. Experience in Microsoft Office applications (Access, Excel, PowerPoint, Word, Outlook). Knowledge of applicable federal, state, and regulatory requirements, laws, and standards. Knowledge of human resource practices, regulations, and standards. Ability to lead by example in communicating, participating, and encouraging support of institutional sustainability programs. Flexibility to quickly change priorities when required. Working Environment Activities are performed in an environmentally controlled office setting involving extended periods of sitting, keyboarding, and computer use. Visual acuity and manual dexterity are required. Employees may stand for varying lengths of time and walk moderate distances. Bending, stooping, reaching, and lifting up to 25 pounds may be required.
