Maintenance & Operations Field Supervisor

Position Overview

• Responsible for supervision of daily operations and maintenance activities across 10–15 buildings in a 950-unit portfolio, overseeing 20 employees.
• Regular hours are Monday–Friday, 8:00 AM to 4:00 PM. Works after hours as necessary, responds to emergencies, and coordinates weekend emergencies and priority work. *must be able to respond after hours*
• Maintains strong follow-up skills for daily correspondence.

Staff Supervision & Management

• Ensures all sites are staffed appropriately and organizes weekly schedules for field staff.
• Provides maintenance support and direction to field staff as needed.
• Properly trains new hires in accordance with organizational procedures and policies.
• Notifies supervisors and HR of any absences via email and calendar.
• Prepares incident reports as necessary and submits them promptly.
• Conducts timely write-ups and submits them to supervisors as necessary for insubordination or inappropriate behavior/actions.
• Prepares daily reports for supervisor and delivers them by EOD.

Maintenance Operations & Work Order Management

• Accountable for ensuring execution of all work orders, violation certifications, turnovers, and commitments to the organization, residents, applicable city agencies, and nonprofit partners.
• Ensures all resident work orders and violations are completed in a timely manner and prior to deadlines.
• Collaborates with the maintenance coordinator and supervisor on work orders, violations, and turnovers.
• Assists with third-party vendors as necessary and provides support to field staff as needed.
• Ensures all monthly maintenance is completed on mechanical systems.
• Maintains equipment as needed, including pumps and other equipment.
• Collaborates with supervisor on physical plant projects.

Building Inspections, Compliance & Quality Control

• Conducts daily visits to all buildings and ensures the highest standards are maintained for physical buildings, staff offices, grounds, and common areas.
• Identifies and addresses building-related issues, notifying supervisor of any building, tenant, or nonprofit partner-related concerns.
• Ensures buildings remain in compliance with applicable city and state codes, including but not limited to DOB, HPD, DSNY, FDNY, DOHMH, etc.
• Ensures all life safety protocols are followed and reports any life safety concerns to supervisor.
• Ensures building conditions are properly maintained, including graffiti removal, replacement of door locks, current building signage and safety equipment, repair of broken windows, and elimination of trip/fall hazards.
• Ensures quality control on all turnovers and new move-ins.

Technical Skills & Repairs

• Adept at troubleshooting issues and executing necessary repairs.
• Applies expert skills in electrical, plumbing, carpentry, and HVAC daily.
• Provides direction to field staff in these areas as needed.

Unit Turnovers, Vacancies & Evictions

• Oversees and assists with the entire turnover life cycle, from move-out through key delivery.
• Ensures turnovers are properly handled and all materials are available for maintenance staff.
• Ensures completion of turnovers within two weeks, while executing and delivering turnover work within 30 days of vacancy or less.
• Notifies supervisor of anticipated vacancies and updates the leasing department regarding anticipated vacancies.
• Notifies supervisor of vacancies and prepares a punch list and budget for each turnover.
• Ensures evictions are properly executed and units are secured.

Resident Relations & Customer Service

• Addresses all tenant-related issues.
• Provides superior customer service and attention to all residents as needed.

Seasonal & Emergency Preparedness

• Prepares buildings for inclement weather, including but not limited to rain, snow, and cold weather.
• Responds to emergencies as necessary and coordinates weekend emergencies and priority work.
