PositionSummary TheAccountsReceivable&OfficeAdministratorisresponsibleformanagingcustomerbilling,collections,paymentprocessing,andaccountmaintenancewhileprovidingadministrativesupportforSpiveyServices'sanitationoperations.Thispositionworkscloselywithcustomers,drivers,andoperationspersonneltoensureinvoicesareprocessedaccurately,paymentsarecollectedtimely,andcustomeraccountsremaincurrent.Theidealcandidateishighlyorganized,detail-oriented,andconfidentcommunicatingprofessionallywithcustomersregardingaccountbalancesandbillingquestions. KeyResponsibilities AccountsReceivable&Billing(PrimaryResponsibilities) Generateandprocesscustomerinvoicesaccuratelyandinatimelymanner. Reviewcompletedserviceticketsandverifyallroutesarebilledbeforeclosingeachbusinessday. Processcustomerpayments,includingcreditcard,check,andelectronicpayments. ApplypaymentsaccuratelywithinNetSuite. Monitorcustomeraccountstoensureaccurateaccountbalances. Prepareanddistributecustomerstatements. Contactcustomersregardingpast-duebalancesthroughphoneandemail. Maintaincollectionnotesandfollowestablishedcollectionprocedures. Researchandresolvebillingdiscrepancies,paymentissues,andcustomeraccountquestions. Workwithoperationstoresolveinvoicediscrepanciesbeforebilling. Assistwithmonth-endbillingandaccountsreceivablereportingasneeded. CustomerService Serveasaprofessionalpointofcontactforcustomerbillingquestions,paymentinquiries,servicerequests,andrentalinformation. AcceptcustomerpaymentsbyphonewhilemaintainingPCI(PaymentCardIndustry)complianceandcompanyprocedures. AdministrativeSupport Answerincomingofficephonecallsanddirectinquiriesappropriately. Serveastheprimarycontactforthesanitationservicedriverphone. Preparecustomerquotesforsanitationrentalsandservices. Printrentalagreementsandsupportingdocumentationforscheduleddeliveries. Organizeandmaintainbillingrecords,routedocumentation,andcustomerfiles. Open,scan,anddistributeincomingmail. CoordinatemilitarybaseandNewportNewsShipyardbadgepaperworkfordrivers. Trackbadgerenewalsandcommunicatestatusupdateswithoperations. Performadditionaladministrativedutiesasassigned. Qualifications Highschooldiplomaorequivalentrequired 2+yearsofexperienceinAccountsReceivable,Billing,Collections,orOfficeAdministration. ProficiencyinMicrosoftOfficeSuite(especiallyOutlookandExcel) Experiencewithbusiness-to-business(B2B)collectionspreferred. Experienceprocessinginvoicesandcustomerpayments. StrongproficiencyinMicrosoftExcelandOutlook. Strongorganizationalskillswiththeabilitytoprioritizemultipledeadlines. WhatWeOffer: WeeklyPayEveryFriday Hourlyrangebetween$18-$22basedonexperience.
