The Opportunity

\n

We’re seeking an exceptional Senior Executive Operations Specialist to work directly with our CEO and Chief Strategy Officer (CSO).

\n

\n

This is a unique opportunity for an analytically strong, highly organized professional who enjoys combining executive support, financial reporting, and business operations.

\n

You will primarily support our CEO (approximately 80%) and CSO (20%), helping them stay organized, make informed decisions, and execute important business initiatives.

\n

This is not a traditional administrative assistant position, nor is it a pure financial analyst role. We need someone who can independently build sophisticated reports, solve business problems, manage executive priorities, and coordinate effectively across departments.

What You’ll Do

\n

Executive Support

\n

\n
• Manage and prioritize the CEO’s inbox, calendar, meetings, correspondence, and follow-up.
\n
• Coordinate executive travel, conferences, appointments, and special projects.
\n
• Track priorities, commitments, and deadlines, ensuring important matters don’t fall through the cracks.
\n
• Anticipate executive needs and proactively improve organization and efficiency.
\n

Financial Analysis & Business Reporting

\n

\n
• Independently create advanced Excel or Google Sheets reports, dashboards, financial forecasts, and operational tracking systems.
\n
• Prepare and maintain cash-flow projections, revenue reports, sales commissions, collections tracking, and reconciliations.
\n
• Analyze financial and operational data, identify discrepancies, and present meaningful findings.
\n
• Support invoicing, payroll administration, bookkeeping coordination, and communication with outside accounting professionals.
\n

Executive Operations & Project Coordination

\n

\n
• Coordinate with sales, marketing, operations, and accounting teams on behalf of executive leadership.
\n
• Gather information, track projects, follow up on deliverables, and help ensure accountability.
\n
• Improve internal processes, reporting systems, and standard operating procedures.
\n
• Identify problems, recommend practical solutions, and take ownership of execution.
\n

What We’re Looking For

\n

\n
• Proven experience in executive operations, business analysis, financial reporting, or a similar role supporting senior leadership.
\n
• Advanced Excel or Google Sheets proficiency , including independently building complex reports and models.
\n
• Strong financial literacy and experience with budgets, forecasts, reconciliations, or management reporting.
\n
• Excellent professional English, both written and spoken.
\n
• Exceptional attention to detail, organization, and follow-through.
\n
• Independent problem-solving ability and sound business judgment.
\n
• Professional maturity, diplomacy, discretion, and emotional steadiness.
\n
• Ability to work with different executive leadership styles, communicate concerns respectfully, and maintain professional boundaries.
\n
• Willingness to handle everyday executive administrative responsibilities alongside sophisticated analytical work.
\n

Preferred: Experience supporting U.S. executives; QuickBooks Online; HubSpot; financial operations; process improvement; or a background in finance, business, operations, or engineering.

\n

A relevant bachelor’s degree is preferred, but demonstrated ability is more important than a specific credential.

\n

You do not need to be a CPA or professional accountant.

\n

Position Details

\n

• Location: Remote, Latin America (Mexico, Colombia, and Argentina preferred)
\n
• Schedule: The company operates during standard business hours, Monday through Friday, Pacific Time. The selected candidate is expected to be available for communication during this period.
\n
• Compensation: 1,800–2,500 USD/month, depending on experience and demonstrated capabilities
\n
• Engagement: Long-term independent contractor arrangement, subject to applicable local requirements
\n
• Review: Initial performance review after 90 days
