The Role

You own every room InstaLILY puts people in.

Executive programs come first: summits, customer working sessions, and private dinners with senior operators. That is where our deals actually move, and it is where most of your attention should go. Industry trade shows in distribution and construction come next, then the partner and ecosystem circuit with NVIDIA, Google, and Microsoft, then the internal events that keep a fast-growing team across four offices feeling like one company.

The job is not logistics support. It is deciding what an event is for, what has to be true for it to work, and then making that happen. Who is in the room matters more than the room. A dinner for twelve operators that produces four qualified conversations beats a booth that collects three hundred badges, and you should be the person in the building who argues that case with evidence.

You'll own the calendar, the budget, and the run-of-show. You'll brief the founders before they walk on stage. You'll chase the follow-up until it shows up in pipeline, because an event nobody follows up on did not happen.

You will not be doing all of it alone. Events are already running day to day, and you'll set the direction and the standard for that work while still being on site yourself.

You'll work with sales leadership and the founders on what these rooms are for.

What You'll Do

Roughly in priority order.

Executive programs. Design and run the summits, working sessions, and private dinners that put senior operators in a room with us. Set the objective, build the format around it, and own who gets invited.

Own the calendar. Build the annual plan across hosted events, trade shows, partner events, and internal gatherings. Decide what we do, what we skip, and what we kill after it underperforms.

Trade shows and conferences. Own our presence in distribution, construction, logistics, and healthcare: booth, speaking slots, side events, and the meetings booked around them.

Partner and ecosystem events. Work the NVIDIA, Google, and Microsoft circuit, and build the joint events that come out of those relationships.

Run the show. Own the run-of-show and be the person making calls on site when the AV fails, a speaker cancels, or forty more people arrive than registered.

Budget. Own it end to end. Negotiate with venues and vendors, track spend, and be able to defend cost per qualified conversation.

Follow-up and reporting. Build the pre-event outreach and the post-event sequence, get the data into HubSpot cleanly, and report what each event actually produced.

Direct the work. Set priorities and quality standards for the events work running day to day, and make it better.

Executive prep and internal events. Brief founders on who's in the room and what to say. Run offsites and all-hands across New York, San Francisco, London, and Toronto.

What You'll Need

6+ years running B2B events , with real weight on hosted executive programs rather than only trade show logistics.

You've owned a program, not just events. You've held an annual calendar and a budget, made the call to kill something, and defended it.

Experience directing someone else's work. Formally or not. You can set a standard and hold it without doing the task yourself.

Commercial judgment. You think in meetings created and pipeline influenced, not attendance and swag.

Vendor and budget command. You negotiate hard, track every line, and don't get surprised by an invoice.

Unflappable on site. Something always breaks. You fix it without escalating and without visible panic.

Comfort with executives. You can tell a founder their talk is running long, and direct a room of senior operators without being pushy about it.

Sharp written communication. Invitations, agendas, and follow-ups that people actually read.

AI-native. You use frontier AI tools to run more events than a team this size should be able to run.

Travel. Expect roughly 25% travel, concentrated in event season.

In-person availability. 5 days/week in our New York office.

Compensation and Benefits

• Salary Range: $110,000 - $135,000, commensurate with experience
