Accutemp Engineering Inc. is seeking an experienced HVAC Project Manager to lead commercial HVAC construction projects from initial planning and design coordination through installation, billing, closeout, and final turnover.

This position supports a varied portfolio of design-build and plan-and-spec projects , ranging from office fit-outs to food-processing facilities. The Project Manager will coordinate internal project teams, field labor, subcontractors, vendors, design professionals, general contractors, and customers to keep project scope, schedule, budget, quality, safety, and documentation aligned.

The successful candidate will bring strong commercial HVAC knowledge, practical project-management skills, financial accountability, and the ability to manage multiple priorities without losing sight of important details. This is an opportunity for a self-motivated professional to take ownership of projects across the full lifecycle—from design and takeoff through field execution, billing, and closeout.

Responsibilities

• Review project proposals, contracts, drawings, specifications, schedules, and scope requirements before execution. 
• Develop and maintain a practical project plan covering milestones, labor requirements, procurement, submittals, billing, and closeout activities. 
• Lead assigned projects from award through completion and turnover. 
• Own and maintain the project schedule, monitoring progress against key dates and anticipated deadlines. 
• Identify schedule constraints, scope concerns, and potential project risks early and coordinate appropriate corrective actions. 
• Lead project kickoff, progress, and coordination meetings. 
• Document decisions, responsibilities, action items, and required follow-up. 
• Manage multiple concurrent projects and priorities while maintaining complete, organized, and current project records. 

• Support and coordinate the design of commercial HVAC systems for design-build and plan-and-spec projects. 
• Perform and review HVAC piping and sheet-metal takeoffs. 
• Validate quantities, scope coverage, constructability, and anticipated labor and material requirements. 
• Review project drawings and specifications to identify scope gaps, coordination concerns, and potential field conflicts. 
• Coordinate with engineers, architects, general contractors, subcontractors, and other trades to resolve design and installation issues. 
• Manage the RFI process from preparation through response and resolution. 
• Manage the submittal process, including preparation, tracking, follow-up, approval, and distribution. 
• Maintain current RFI and submittal logs and follow up on outstanding items that could affect procurement or the project schedule. 
• Ensure approved submittals, drawing revisions, specifications, and field direction are communicated to the appropriate project team members. 
• Use CAD and related project-management technology as appropriate to support design and project coordination. 

• Manage subcontractors and vendors throughout assigned projects. 
• Confirm subcontractor and vendor scopes are aligned with project requirements. 
• Review quotes, lead times, delivery commitments, and performance expectations. 
• Coordinate equipment and material releases so procurement supports the project schedule and installation sequence. 
• Monitor long-lead equipment and material requirements and escalate potential delivery concerns. 
• Plan, track, and update labor requirements across assigned projects. 
• Coordinate field labor scheduling based on project priorities, milestones, and manpower needs. 
• Clearly communicate schedule changes and resource requirements to field leadership and other project stakeholders. 
• Maintain regular communication with field teams and respond promptly to installation questions, sequencing issues, and resource constraints. 
• Build productive working relationships with field employees, subcontractors, vendors, customers, and project partners. 

• Establish and monitor project budgets, committed costs, labor performance, forecasts, and cost-to-complete expectations. 
• Perform recurring project cost analysis to evaluate financial performance and identify developing variances. 
• Work with project and field leadership to address cost concerns and protect project margin. 
• Review labor, material, equipment, and subcontractor costs against the approved project scope and budget. 
• Prepare, price, document, submit, and track change-order requests. 
• Ensure change-order pricing includes applicable labor, material, equipment, subcontractor, overhead, and schedule impacts. 
• Maintain clear supporting documentation for pending and approved change orders. 
• Support accurate and timely AIA billing and requisitions based on approved scope and verified project progress. 
• Monitor unapproved work and pending changes that could affect billing or job profitability. 
• Provide leadership with clear reporting regarding project financial status, risks, pending changes, and opportunities. 

• Travel to active project sites as required to verify progress, coordination, workmanship, and alignment with approved project documents. 
• Work closely with field leadership to resolve unforeseen conditions, installation questions, sequencing challenges, and quality concerns. 
• Coordinate project activities with general contractors and other trades to support efficient field execution. 
• Reinforce company safety expectations and applicable jobsite requirements. 
• Support a safe, organized, and professional work environment. 
• Monitor project quality and follow through on corrective actions when work does not meet plans, specifications, or company expectations. 
• Coordinate testing, commissioning, and other required project-completion activities. 
• Manage punch-list completion and ensure outstanding items are addressed promptly. 
• Coordinate as-built drawings, operation and maintenance manuals, warranties, and other required closeout documentation. 
• Maintain strong customer and project-partner communication through final completion and turnover. 

• Serve as a primary day-to-day point of contact for assigned projects. 
• Communicate clearly with both technical and non-technical stakeholders. 
• Provide timely updates regarding schedule, cost, procurement, labor, change orders, field conditions, and project risks. 
• Prepare and maintain project status reports, schedule updates, cost information, change-order logs, and action-item tracking. 
• Escalate schedule, cost, quality, safety, or customer concerns early and provide practical recommendations for resolution. 
• Maintain professional, complete, and accurate project documentation. 
• Perform other project-related duties and responsibilities as assigned. 

• Projects advance safely, on schedule, and within established budget expectations. 
• Labor, materials, equipment, vendors, and subcontractors are coordinated before they become schedule constraints. 
• RFIs, submittals, change orders, project-cost reporting, and billings are accurate and timely. 
• Field teams receive the information and support needed to execute work efficiently. 
• Project risks are identified and communicated early. 
• Customers and project partners receive clear, professional communication. 
• Closeout documentation is complete, organized, and delivered on time.

Qualifications

• High school diploma or equivalent.
• At least three years of experience as an HVAC Project Manager, HVAC Design Engineer, or in a closely related commercial HVAC project role. 
• A technical or trade background is acceptable and valued. 
• Working knowledge of commercial HVAC systems, HVAC piping, sheet metal, equipment, installation sequencing, and construction documentation. 
• Ability to read and interpret project drawings, plans, and specifications. 
• Experience managing RFIs, submittals, change orders, project schedules, job costs, and AIA billing or requisitions. 
• Ability to perform HVAC piping and sheet-metal takeoffs. 
• Ability to apply practical construction math to labor, material, equipment, and cost planning. 
• Strong written and verbal communication skills. 
• Strong analytical, organizational, interpersonal, and problem-solving skills. 
• Ability to communicate effectively with customers, project partners, vendors, subcontractors, office employees, and field personnel. 
• Self-motivated and flexible team player. 
• Ability to independently prioritize and manage multiple tasks and projects at the same time. 
• Ability to travel to project and meeting locations as required. 

• Bachelor’s degree in Mechanical Engineering. 
• Experience using CAD for HVAC design or project coordination. 
• Experience with BuildOps . 
• Experience with Procore . 
• Experience with Bluebeam Revu . 
• Proficiency with Microsoft Office products, particularly Excel, Outlook, Word, and PowerPoint. 
• Experience managing both design-build and plan-and-spec commercial HVAC projects. 
• Experience supporting commercial or industrial projects involving varied building systems and operating requirements. 

This is a full-time, salaried position based in Stoneham. The role includes required travel to active jobsites, customer meetings, and other project locations.

Work will take place in both office and active construction-site environments. Schedule flexibility may occasionally be needed to support project milestones, field conditions, customer needs, or critical project activities.
