Overview:

Pherson is seeking a Program Coordinator to provide comprehensive stakeholder, administrative, technical, and operational support to the customer PMO for an enterprise Certification and Credentialing Program. The Program Coordinator delivers responsive customer support to certification program candidates and participants and ensures the smooth day-to-day functioning of the program. This role maintains digital content and platforms (SharePoint, program website), manages participant and credentialing data systems, coordinates recurring meetings and communications, and supports reporting, records management, and compliance activities, including working with agency-designated points of contact who review and approve participant enrollment requests. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple concurrent workstreams across administrative and technical domains.

Location: Hybrid - Remote / Linthicum, MD

Operating Hours and Expectations: This position has flexible hours; generally, 8am-5pm; primarily remote, one day a week onsite in Linthicum, MD

Security Clearance:  An active Secret clearance is required

Position Type: Full-time

Salary Range: $95,000-115,000

Key Responsibilities:

Communications & POC Coordination

• Administer program email mailboxes, including monitoring, categorization, tracking, and timely routing of correspondence.
• Maintain distribution lists for agency and component POCs.
• Support the agency and component POC appointment and resignation process, including documentation and tracking.

Data & Participant Management

• Maintain and manage the participant database, tracking enrollments, progress, and engagement metrics.
• Support participant record and data migration efforts, ensuring data integrity and continuity across systems.
• Administer the Learning Management System (LMS), including user access, assessment enrollments, and certification/credential tracking and reporting.

Digital Platform & Publications Management

• Maintain and update the program's SharePoint site, website, and related digital platforms to ensure content is current, accurate, and accessible.
• Manage publications maintenance, including ongoing updates and quarterly reviews to ensure accuracy and compliance with program standards.

Meeting & Event Support

• Provide comprehensive meeting support, including recording, roll call, minutes/transcript preparation, and distribution.
• Maintain and manage logistics for recurring virtual and in-person meetings.
• Update and maintain presentation materials.
• Support and attend recurring meetings, providing administrative coordination as required.

Records Management & Reporting

• Oversee records management in accordance with program and organizational policy.
• Conduct monthly policy scans and tracking; prepare and submit monthly status reports.
• Process program appeals and waivers in accordance with established procedures and timelines.

Qualifications:

Required:

• Bachelor’s degree and five (5) years of experience, or associate degree and seven (7) years of experience, in providing program support.
• Strong data management skills, including experience maintaining databases and tracking systems (e.g., enrollment, progress, engagement).
• Excellent written and verbal communication skills, including minute-taking and meeting documentation.
• Proven ability to manage multiple administrative workstreams simultaneously with strong attention to detail.
• Experience supporting recurring virtual and in-person meetings/events, including logistics upkeep and materials preparation.
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
• Strong organizational and time-management skills.
• Comfort serving as a liaison with external stakeholders on administrative processes.
  

Desired:

• Experience with Microsoft SharePoint administration and/or website content management.
• Experience administering a Learning Management System (LMS), particularly enrollment and certification/credential tracking.
• Experience with program/data migration projects.
• Familiarity with policy scanning, compliance tracking, or regulatory reporting processes.
• Prior experience supporting government, federal, or large institutional programs.
• Experience with distribution list management and stakeholder/POC coordination.
• Working knowledge of database or reporting tools.
• Experience supporting meetings or briefings.
