NIAC is a 501(c)(3) nonprofit organization dedicated to educating, engaging, and celebrating the Iranian-American community. NIAC Action, the 501(c)(4) sister organization of NIAC, is dedicated to building political power for the Iranian-American community to advance peace and diplomacy, secure equitable immigration policies, and protect the civil rights of all Americans.

Position Summary:

The Operations Manager will oversee the day-to-day financial, administrative, HR, compliance, and operational systems for NIAC and NIAC Action. This role is responsible for keeping the organization's internal infrastructure running smoothly, proactively managing recurring operations, troubleshooting issues, and improving systems and processes across the organization.

The ideal candidate is highly organized, detail-oriented, comfortable managing multiple operational functions, and able to take ownership of responsibilities with limited day-to-day supervision.

This is a full time position open to remote candidates, with preference given to candidates based in the Washington, DC area.

Responsibilities

Finance & Accounting:

• Manage day-to-day financial operations, including QuickBooks, monthly reconciliations, invoices, payments, reimbursements, deposits, and organizational credit/debit accounts.
• Manage organizational bank and investment accounts and maintain accurate account access and records.
• Monitor cash flow, organizational budgets, projections, and budget-to-actual performance and provide regular financial reporting to leadership.
• Coordinate tax preparation, annual financial reporting, audits/reviews, and other accounting needs with external professionals.
• Reconcile revenue and transactions across third-party donation and payment systems.

Payroll, Benefits & Human Resources:

• Own administration of ADP, including payroll processing, timesheets, employee records, and payroll troubleshooting.
• Administer employee benefits, enrollments, renewals, and employee benefit questions.
• Manage staff onboarding and offboarding, including documentation, payroll/benefits setup, accounts, equipment, and organizational access.
• Serve as a resource for routine HR questions, policies, employee concerns, and administrative needs.
• Coordinate staff trainings, evaluations, internal HR processes, and staff events.

Compliance & Administration:

• Maintain the organization's compliance calendar and coordinate federal, state, tax, employment, corporate, and nonprofit filings and renewals.
• Manage organizational insurance, contracts, registrations, corporate records, and other recurring compliance requirements.
• Manage contractors and vendors, including contracts, invoices, payment documentation, W-9s/1099s, renewals, and administrative coordination.
• Manage organizational mail, checks and deposits, office operations, supplies, equipment, and storage facilities.

Systems, Technology & Data:

• Administer organizational systems including Google Workspace, Slack, NGP VAN, password management, and other organization-wide platforms.
• Manage user accounts, permissions, cybersecurity practices, password security, and organizational technology access.
• Oversee routine data management, database maintenance, system organization, cleanup, updates, and documentation.
• Develop and maintain operational processes, SOPs, trackers, and organizational systems that improve efficiency and accountability.
• Train staff on organizational systems and troubleshoot routine technology, data, and operational issues.

Organizational Operations:

• Proactively identify operational needs, upcoming deadlines, risks, and recurring problems and develop solutions.
• Manage relationships with banks, payroll/benefit providers, insurers, vendors, contractors, government agencies, and other operational partners.
• Manage the organization's general information email and phone line and ensure inquiries are appropriately handled or routed.
• Work across departments to ensure organizational policies, processes, deadlines, and administrative systems are consistently followed.
• Support leadership with special operational projects and continuously identify opportunities to strengthen and streamline internal operations.

Qualifications

• 5+ years of experience in nonprofit operations, finance/administration, HR, or a related role.
• Experience managing multiple operational functions with a high degree of ownership and independence.
• Strong organizational, project-management, and problem-solving skills.
• Experience with budgeting, bookkeeping/accounting, payroll, HR administration, and compliance.
• Experience with QuickBooks Online and payroll/HR platforms; ADP experience preferred.
• Familiarity with nonprofit compliance and 501(c)(3) and 501(c)(4) organizations strongly preferred.
• Strong technology skills and ability to learn, administer, and improve organizational systems.
• Excellent attention to detail, judgment, discretion, and ability to handle confidential information.
