Program Operations Manager

We are currently in search of a Program Operations Manager for a Racial Justice Advocacy Nonprofit. The position is On-site in Washington, DC. This is a part-time, temporary to permanent position.

POSITION TITLE: Program Operations Manager

SCHEDULE: 20 hours/week

DURATION: Temporary to permanent (will be full-time if converted to permanent)

HOURLY RATE: $26.00 - $32.00

The Program Operations Manager will serve as the operations backbone of the organization and sit between the Executive Director and program staff to ensure day-to-day execution of programs is on track, visible, and aligned with organizational direction. This position sits at the center of the organization's programs and will require building and maintaining the systems, tracking, and coordination infrastructure that allows communications, policy, event, and community-facing work to run smoothly. This role is ideal for someone who understands how to work in a founder-led mission-driven organization and thrives on systems-building, cross-functional coordination, and being the person who ensures nothing falls through the cracks.

Our Ideal Candidate:
• 2-5 years of experience in program operations or project management
• Bachelor's degree or equivalent professional experience
• Experience in community organizing, advocacy, or direct service organizations a plus
• Prior experience supervising or leading the work of staff, contractors, or volunteers
• Strong organizational skills with the ability to manage multiple projects and systems
• Highly proactive and independent with effective communication skills
• Proficiency in software tools including Asana, CRMs, and Google Workspace.
• Comfortable working in a racial equity and economic justice context

How You Will Spend Your Day:

Systems & Infrastructure
• Set up and maintain project management system (Asana or Monday.com)
• Set up and maintain CRM and contact tracking systems (Copper CRM or equivalent)
• Build and maintain fundraising and grant deadline tracking (ticklers)
• Maintain organizational documentation and job description archive
• Log and track all active contracts

Cross-Functional Coordination
• Serve as the tracking and coordination hub across all contractors and staff - communications, policy research, event planning, and program delivery
• Maintain the master project tracker and attendance system
• Coordinate scheduling, agendas, and follow-up notes for recurring meetings (coalition, staff, programs)
• Flag gaps, bottlenecks, and overdue items to the Executive Director

Event & Convening Logistics
• Coordinate logistics for events, community sessions, and coalition meetings
• Support the November national convening - registration, materials, day-of coordination, expense tracking
• Track attendance, RSVPs, and follow-up across all events

Organizer & Pipeline Coordination
• Coordinate pilot enrollment support scheduling (office space, materials, logistics)
• Support the introduction of participants into the organization's broader programs and mailing lists
• Serve as a point of coordination for organizers who need logistical support
