Insomniac - PR Coordinator

Job Summary Insomniac is seeking a proactive PR Coordinator to develop and implement creative communications strategies that share our story and engage audiences across media channels. The role requires strong writing, media relations, and project coordination skills, with a passion for dance culture and storytelling. This is an on‑site, full‑time position based in Calabasas, CA. Responsibilities Media Relations & Communications Manage the View email address on click.appcast.io inbox and respond to media inquiries. Build and maintain relationships with journalists, photographers, influencers, and other media professionals covering Insomniac events. Review and approve media credential applications for concerts, festivals, and club shows. Ensure seamless event access and support for credentialed press. Content Development & Distribution Draft, edit, and distribute press releases, media alerts, festival recaps, news articles, and PR reports. Create Electronic Press Kits, one‑sheet documents, and talking points for event brands. Assist in formatting and distributing announcements through third‑party platforms. Draft official quotes and remarks for company executives. Author a limited number of social media posts each month. Philanthropy & Community Engagement Support planning and execution of flagship philanthropy initiatives, including charity auctions and community campaigns. Coordinate timelines, budgets, and messaging across marketing, PR, and on‑site activations. Track metrics and produce impact reports to highlight charitable outcomes. Media Monitoring & Reporting Compile and distribute daily press clips and weekly media reports. Track earned media reach, sentiment, and impact across campaigns. Provide updates to internal stakeholders and festival teams on press performance. Campaign Support Participate in campaign brainstorming and planning to identify newsworthy angles. Build and update tailored media lists for event coverage. Draft recommended PR strategies and timelines for full event campaigns. Maintain a current media database across key Insomniac markets. Collaborate with marketing and brand teams to align PR strategy with broader messaging. Asset & Database Coordination Organize photo selects and fulfill press photo/video requests. Maintain internal folders (Dropbox/Google Drive) with current press materials and assets. Coordinate with external agencies for asset delivery and fact‑checking. On‑site Event Support Assist at selected concerts, club shows, and festivals by managing media check‑in and press lounge staffing. Support artist interviews and photo moments. Provide onboarding support for team members, clients, vendors, and partners. Execute additional projects and initiatives as needed. Qualifications 1+ year of experience in music public relations or related internships, preferably with dance music or live events. Existing relationships or familiarity with key media contacts in the dance music industry. Exceptional writing skills for press materials, pitches, and internal documents. Strong understanding of traditional press and emerging digital platforms, especially in music and culture. Must be available to work in the Calabasas office five days per week (8‑hour shifts). Proficiency in Google Workspace (Docs, Sheets). Highly motivated self‑starter with a solutions‑first mindset. Strong problem‑solving and time‑management skills. Passion for electronic music culture and knowledge of Insomniac’s festivals and brands. Work Environment Dynamic, fast‑paced setting with open office space and fluctuating noise and climate conditions at event locations. Self‑management of workload with a positive attitude and willingness to work evenings and weekends.
