Contract Type: W2 Only
Duration: 12+ Months
Location: Sunnyvale, CA (Purposeful Onsite)
Pay Range: $60 - $65 on W2
The Executive Communication Operations Coordinator supports the systems, data, and processes behind executive communication programs and external engagements. This role coordinates executive speaking requests, maintains roadmap data and content resources, supports reporting and executive calendars, and improves operational workflows using technology, automation, and AI-enabled tools.
Key Responsibilities
- Coordinate executive speaking engagements from intake through handoff, including request tracking, starter briefs, and content organization.
- Maintain and quality-check roadmap data to ensure accurate reporting, executive calendars, and microsites.
- Administer the Executive Communication Content Hub and internal team pages, including content updates, audits, and monthly communications.
- Monitor team inboxes and messaging channels, triage inquiries, and maintain operational documentation.
- Support dashboards, Smartsheet data, AI-enabled reporting, executive calendars, and microsites.
- Test data flows and automated workflows, identify gaps, and recommend process improvements.
- Collaborate with stakeholders to refine data standards, field definitions, and reporting processes.
- Assist with proofreading, reviewing executive materials, and coordinating other communication projects.
- 2–4 years of relevant coordination or operations experience.
- Strong organizational, analytical, and problem-solving skills.
- Knowledge of project management and process improvement methodologies.
- Proficiency in Microsoft Office, particularly PowerPoint.
- Strong attention to detail and data quality management.
- Ability to maintain documentation and manage multiple operational priorities.
- Familiarity with Smartsheet, SharePoint, Box, Slack, and Zoom.
- Exposure to AI tools such as Microsoft Copilot and Claude.
- Experience with dashboards, reporting workflows, data stewardship, or workflow automation.
- Background in executive communications, content operations, or program coordination.
