Secretary - NYU Langone South Shore Neurologic Associates - Islip

Position Summary We have an exciting opportunity to join our team as a Secretary – NYU Langone South Shore Neurologic Associates – Islip. The successful candidate will provide front‑desk support for clinical intake operations, including pre‑authorizations and certifications for services outside of surgical procedures. Job Responsibilities Schedule appointments for visits, treatments, and procedures; review confirmation responses and manage waitlists. Communicate appointment instructions and preparations to patients. Obtain authorizations for services as needed. Answer calls, take messages, and route questions to the appropriate contact in a clear and timely manner. Handle faxes, mail, and document uploads within EPIC. Prepare standard letters, forms, and routine memoranda. Maintain cooperative and professional relationships with physicians, nurses, and office staff. Prioritize assignments to meet deadlines and respond to workload changes. Provide communication support in person, over the phone, in writing, and via electronically sent messages. Assist in training and mentoring less senior staff on registration and office policies. Review inbox messages and patient emails before routing to the appropriate provider. Provide non‑clinical instructions for upcoming appointments or procedures. Promote use and sign‑up of MyChart. Follow scanning guidelines for external documents and scan, upload, and forward material within EPIC. Reschedule patients when physicians are out or block schedules. Organize and distribute mail and faxes. Maintain physician calendars, including creating and sending invitations. Release medical records in accordance with HIPAA and FGP ROI procedures. Document disclosures in Epic and fulfill requests within a 10‑day timeframe. Secure appropriate signatures and forward documents to the correct destination. Follow up with physicians on outstanding patient‑care messages. Answer patient questions, ensuring understanding and satisfaction, and refer to senior staff as needed. Maintain confidentiality on privileged matters; refer diagnostic or treatment questions to RN/provider; refer surgical and infusion scheduling to Senior Medical Secretary. Review work for accuracy and completeness; assist with prescription refill requests and related pharmacy communication. Initiate and follow up on pre‑authorizations and appeals; manage patient, referral, and authorization work queues. Document and verify referrals received in EPIC. Collaborate with other NYU Langone sites to ensure seamless continuation of care. Maintain cleanliness of personal and patient spaces and restock supplies as needed. Assist with special projects, reports, and activities; bring concerns to supervisor attention. Minimum Qualifications High school diploma or equivalent. Excellent organizational, interpersonal, and verbal and written communication skills. Strong customer‑service skills and ability to perform multiple tasks efficiently. Knowledge of Microsoft Office, database, and internet applications. Accurate keyboarding skills. Preferred Qualifications At least 6 months of physician practice office experience. Knowledge of medical terminology. Experience with EPIC Ambulatory systems. Salary The salary range for this role is $56,873.24 – $56,873.25 annually. Actual salaries depend on experience, specialty, education, and hospital needs.
