The Position

Wealthspire is looking for an enthusiastic, organized, and highly motivated Marketing Events Coordinator to join our Marketing team.

This is an entry-level opportunity for someone interested in building a career in events and marketing. Working closely with our Director of Events and broader Marketing team, you'll gain hands-on experience supporting events of all sizes, from client dinners and educational programs to conferences, sponsorship activations, internal meetings, and large firmwide experiences.

You don't need to come in knowing everything about event planning or financial services. We're looking for someone who is eager to learn, takes pride in being organized, enjoys working with people, and is willing to jump in and help wherever needed.

What You'll Do

• Support the Events team with the planning and execution of in-person, virtual, and hybrid events.
• Assist with logistics including venues, catering, transportation, hotel accommodations, audiovisual needs, activities, and event materials.
• Research venues, restaurants, vendors, entertainment, and other event resources.
• Help create event timelines, checklists, attendee lists, and run-of-show documents.
• Prepare and organize event supplies, signage, name badges, collateral, gifts, and branded merchandise.
• Assist with packing and shipping materials to event locations.
• Provide on-site support including event setup, registration, guest assistance, vendor coordination, and breakdown.

Create a Great Guest Experience

• Help manage event invitations, registrations, confirmations, and attendee communications.
• Maintain accurate guest and registration lists.
• Respond to basic attendee questions and help coordinate special requests.
• Welcome guests and provide registration support at events.
• Help ensure every interaction reflects the level of service and hospitality we want people to associate with Wealthspire.

Support Event Marketing

• Work with members of the Marketing team to coordinate invitations, presentations, signage, event collateral, and follow-up communications.
• Help maintain the firm's events calendar and keep event information organized and up to date.
• Assist with webinars and virtual programs, including registration, speaker materials, rehearsals, and technical preparation.
• Help collect event photos, feedback, and other content that can be used across Wealthspire's marketing channels.

Keep Us Organized

• Schedule meetings and help coordinate event planning calls.
• Maintain event files, vendor contacts, contracts, proposals, and other documentation.
• Assist with tracking event expenses, invoices, and budgets.
• Keep track of deadlines and follow up on outstanding event needs.
• Help maintain inventory of event supplies, signage, promotional items, and branded merchandise.
• Support post-event surveys and reporting.

What We're Looking For

• Bachelor's degree in marketing, communications, hospitality, event management, business, or a related area.
• Recent college graduate or candidate with up to 1-2 years of relevant experience, including internships, campus organizations, hospitality, events, marketing, or customer service.
• Strong organizational skills and attention to detail.
• Working knowledge of Microsoft Office, including Outlook, PowerPoint, Word, and Excel.
• Familiarity with platforms such as Cvent, HubSpot, Zoom, Canva, or similar tools is helpful but not required.
• Ability to travel periodically and work occasional early mornings or evenings when supporting events.
