IP Docketing Manager – Intellectual Property Operations

A highly respected law firm with a sophisticated Intellectual Property practice is seeking an experienced  IP Docketing Manager to lead and enhance its IP docketing operations. This is an exciting opportunity for an experienced IP professional who enjoys leadership, process improvement, team development, and working closely with attorneys and firm leadership on complex intellectual property matters.

The ideal candidate will bring strong  patent and trademark docketing experience , a passion for operational excellence, and the ability to lead a high-performing team while ensuring accuracy, efficiency, and exceptional client service.

Key Responsibilities:

• Lead and oversee the daily operations of the IP docketing team, including workload management, prioritization, quality control, and staff development.
• Manage, mentor, and support docketing professionals through training, performance feedback, and career development.
• Oversee recruitment, onboarding, training, and integration of new team members.
• Develop and implement audit processes to ensure docketing accuracy, consistency, and compliance with applicable rules and deadlines.
• Analyze docketing metrics, identify trends, and recommend process improvements to enhance efficiency and service delivery.
• Maintain and update docketing procedures, workflows, templates, and best practices in collaboration with IP Operations leadership.
• Serve as a subject matter expert on IP docketing processes, patent and trademark prosecution procedures, and industry best practices.
• Support IP portfolio transitions, including new client matters, attorney moves, and data transfers within IP management systems.
• Provide guidance and training to attorneys and staff on docketing systems and best practices.
• Collaborate with attorneys, paralegals, IP Operations, and administrative teams to improve workflows and support client needs.
• Maintain strict confidentiality of sensitive firm and client information.

Qualifications:

• Minimum of 5 years of progressive Intellectual Property docketing or IP operations experience , including leadership or supervisory responsibilities.
• Prior experience working in a law firm environment.
• Strong knowledge of  patent and trademark prosecution processes from filing through completion.
• Experience managing and developing a team of docketing professionals.
• Familiarity with IP management and docketing systems such as  Anaqua, PATTSY, or similar platforms .
• Experience with document management systems such as  iManage preferred.
• Strong analytical, organizational, and project management skills.
• Excellent written and verbal communication skills with the ability to work effectively with attorneys, staff, and leadership.
• Demonstrated ability to manage competing priorities, meet deadlines, and thrive in a fast-paced environment.
• Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint.
