District Food Service Secretary
Position details: Salary: Series 6, Level 1 ($18.48/hr) or commensurate with experience Benefits: Benefits as outlined in OAPSE contract Schedule: Daily Hours- 205 days/year, 5 hrs/day Direct Supervisor: Food Service Supervisor
Position purpose: Our new Secretary will work collaboratively with the food service team under the direct supervision of the Food Service Supervisor, to provide a wide variety of secretarial support. Attention to detail, accuracy and compliance with current procedures is imperative to this position.
Minimum Qualifications:
- High school diploma.
- Meets all legally mandated health requirements.
- Provides documented evidence of a clear criminal record as required by law.
- Congenial telephone etiquette and experience operating a multi-line system.
- Proficient in office protocol and the use of business equipment.
- Proficient in data entry, spelling, proofreading, alphabetizing skills paper filing and the correct use of grammar.
- Ability to type at 60 WPM with excellent accuracy.
- Proficient with computer use, electronic filing and software applications such as Student Information Management Software, Microsoft Word, Excel, Internet usage and e-mail.
- Multitasking ability and strong interpersonal skills.
- Excellent organizational, scheduling, and mathematics skills related to budgets and banking of funds.
- Ability to create purchase requisitions, negotiate pricing and utilize school discount programs.
- Ability to format and prepare professional correspondence.
- Ability to accurately process, file, track and inventory school purchases.
Essential Job Functions:
- Performs secretarial duties as directed. Maintains a functional filing system of paper and electronic documents.
- Follows board policies/administrative procedures and supports the district mission statement.
- Cross-trains with other office staff and offers assistance when needed.
- Supports the district and building student code of conduct.
- Prepares professional correspondence as directed.
- Answers incoming phone calls, takes messages, manages calls efficiently, schedules appointments and utilizes on-line calendars as directed.
- Provides needed information to callers when possible to close out inquiry.
- Greets visitors, verifies appointments, answers questions and directs or escorts visitors to the appropriate person/office.
- Maintains/submits student records, attendance, emergency medical forms, correspondence, and reports in a timely manner.
- Processes incoming, outgoing and interoffice mail.
- Receives office deliveries and notifies recipients.
- Manages inventory efficiently to ensure products do not become useless due to age and/or obsolete.
- Maintains staff and emergency authorization forms. Updates staff intervention team (CPR/AED) on an annual basis.
- Assists students who need help with school task/issues and refer students to the proper school official for more involved matters.
- Monitors and assists students sent to the office for illness, injury or disciplinary reasons.
- Assists administrators with scheduling of school events, teacher observations/evaluations and related tasks.
- Prepares, processes and ensures accuracy for professional development requests including but not limited to making travel arrangements.
- Provides efficient and accurate counting of currency, coin, checks and related banking forms for field trips, athletic receipts, fundraisers and other school needs. Maintains petty cash and athletic cash boxes.
- Manages substitute teacher assignments and provides assistance as needed.
- Manages staff attendance including verifying time worked and leave entries.
- Orders and manages building printer toner and other supplies as requested by administrators.
- Organizes, manages and orders needed supplies, awards and refreshments for scheduled events.
- Assists administrators with student discipline including but not limited to calling students to the office, maintaining a detention calendar, data entry of assigned discipline, and related communications and recording.
- Inputs and verifies EMIS data. Ensures enrolled students have complete enrollment packages with key documents such as custody, birth certificate, residency verification and related documents.
- Keeps current with advances in office technology.
- Prepares/assembles newsletters, notices, daily announcements and mailings such as progress reports and report cards.
- Prepares invitations, brochures, public service announcements, as needed.
- Updates building website as directed with announcements and general school information.
- Performs other job-related duties as required.
- Reports evidence of suspected child abuse as required by law.
- Maintains the confidentiality of privileged information.

- Duties may require working under time constraints to meet deadlines.
- Duties may require working during the evening/weekends.
- Duties may require traveling to meetings and work assignments.
- Duties may include communicating needed assistance to district staff and volunteers.
