What You'll Do
- Manage Billing Processes: Oversee the day-to-day billing process for assigned projects, ensuring invoices are accurate, complete, and submitted in a timely manner.
- Owner Invoicing: Process all owner invoices timely and accurately, including all required sworn statements, supporting information, and waivers when needed (including inter- and intra-company invoicing).
- Accounts Receivable Monitoring: Track accounts receivable and proactively follow up with owners/customers regarding outstanding payments, discrepancies, and billing issues.
- Subcontractor Invoice Management: Process subcontractor invoices and requisitions, ensuring all submissions are accurate and compliant with contract requirements and established deadlines.
- Cross-Functional Collaboration: Partner closely with Project Managers to obtain invoice approvals, resolve billing inquiries, and facilitate seamless payment processing.
- System & Portal Updates: Upload and maintain accurate invoices and supporting documentation in customer portals and internal management systems.
- Project Reporting Support: Assist with project financial reporting, including job cost tracking and analysis, as well as Certified Payroll, EEO, and OCIP reporting as required.
- Communication: Strong verbal and written communication skills across all levels of the organization.
- Detail Orientation: Superior attention to detail and accuracy in transactional accounting.
- Work Ethic: Self-motivated mindset with a strong ability to take initiative and follow through on task completion.
- Organizational Skills: Exceptional time-management and organizational capabilities.
- Software Proficiency: Proficiency in Microsoft Office (Excel) is required. Experience with Viewpoint (Vista) is strongly preferred.
- Education: Associate's degree in Accounting is required; Bachelor's degree in Accounting or Finance is preferred.
- Experience: 3-5 years of progressive experience in an accounting or job-cost-related role.
- Industry Focus: Construction industry experience is a major plus.
