Job Summary Under close supervision provides support to the Department of Biological Sciences. Responds to basic inquiries and ensures inquiries are addressed and resolved. Performs front desk duties for the Biology Department's main office. Answers, screens, and routes calls to the appropriate area or person. Responds to inquiries sent to the department's main email. Provides students with basic information regarding Biology undergraduate programs and courses, and provides referrals as appropriate. Composes basic documents and coordinates mass mailings. Handles/coordinates student evaluations of courses every semester. Assists students with the registration process, and with printing of advising requirements such as transcript of records. Interacts with Undergraduate Advising at the Department and College levels, including student holds and change of grade forms. Maintains files and other materials as necessary. Arranges for copying exams and other materials for faculty. Monitors office supplies and prepares list of low inventory supplies when ordering is needed. Orders supplies as needed. Confirms room reservation and assists with scheduling requests of other Biology rooms. Maintains the Chair's and Associate Chair's calendars. Provides electronic access to Biology offices upon approval of the Chair. Initiates work order requests for facilities and office maintenance. Assists the Office Manager with processing Faculty TARs and follows up expense reports for all faculty traveling. Assists the Office Coordinator with class scheduling in peak season. Assists faculty with Pcard applications and follows up to make sure if access and Pcard is issued. Assists new faculty in obtaining keys for office/lab access, furniture, phones and computers. Creates, maintains and updates databases (i.e., faculty, staff, postdoc lists), file, and list serves. Responsible for absentee ballots, both sending the email and counting/relaying information to Personnel Committee chair. Trains new temporary and student employees in the office operations. Minimum Qualifications High school diploma or GED and two (2) years of office or related experience; OR an equivalent combination of relevant education and/or experience. Desired Qualifications Knowledge of Microsoft Office Suite. Customer service experience.
