Office Specialist (Biological Sciences Graduate Program)

Job Summary Provides administrative and clerical support to the Graduate Program Director(s) and manages a complex graduate program for Masters and PhD levels in the Department of Biological Sciences. Assists with funding source reviews for teaching assistants and graduate assistants. Responsibilities Assist the supervisor with day‑to‑day administrative, supervisory, and clerical tasks. Respond to inquiries from prospective graduate students, send information packets, create electronic folders, maintain applicant lists, submit acceptance letters, and answer admission questions. Facilitate personnel matters related to teaching assistants, including answering questions, preparing forms, and resolving issues independently and with the Dean's Office. Secure travel information and make arrangements, including airline reservations and tickets, and manage university required travel arrangements and requests. Maintain documents for the Graduate Students Program. Minimum Qualifications High school diploma or GED and four (4) years of office or related experience providing administrative support, or equivalent combination of relevant education and/or experience. Desired Qualifications Proficient in Microsoft Office Suite. Experience with DocuSign. Familiarity with PeopleSoft.
