RESPONSIBILITIES
• Establish, monitor and coordinate program timeline. • Ensure that critical program milestones are completed as required based on standard, pre-established guidelines. • Monitor program budget. Establish program budget based on prefixed guidelines set by department supervisor and manager; monitor expenditures and notify management if/when costs will exceed budget allotment. • Communicate with stakeholders in program development and delivery. • Provide Faculty Support. • Prepare chart of program faculty for use on registration website and in confirmations. • Communicate with faculty on deliverables due per established program timeline, assist with registration and lodging/travel needs. • Coordinate faculty and participant registration. • Coordinate site selection and logistics. • Collaborate with Conference Services on development of RFP, determination of evaluation criteria, evaluate RFP responses, and ultimate site selection. • Manage materials preparation and distribution. • Obtain and maintain course materials from faculty. • Coordinate program publicity. • Invoice processing.Working Conditions

The Judicial Council offers hybrid work arrangements for many positions. The successful candidate will be expected to work in person at the Judicial Council's San Francisco or Sacramento office at least two days per week, based on their office leader's direction, and reside in the areas surrounding these locations. To be eligible for Judicial Council employment and participation in the Judicial Council's Hybrid Work Program, a prospective or current employee's primary residence/remote work location must be in the State of California and within a 150-mile driving radius of their assigned reporting location.

Department Information
OVERVIEW The Judicial Council of California is accepting applications for the position of Administrative Coordinator with the Center for Judicial Education and Resources. The Administrative Coordinator position schedules and performs project management and logistical tasks required to deliver education programs and products for judges, court managers and court personnel. Staff work directly in support of faculty and collaborate with attorneys and education developers responsible for the training and recruitment of faculty and creation of course content. They coordinate the work performed by staff providing A/V Support Services, Distance Education/Media Production, meeting planning and contracting, course and program registration, printing, and mailing, and provide program management for live programs, supporting faculty and working with local site personnel. Staff work independently on more than one assigned program or product at a time and are responsible for coordinating the implementation of a variety of delivery mechanisms including but not limited to the following: in-person conferences, statewide institutes, regional education courses, local training courses, webinars, online videos, podcasts, and videoconferences. This position is responsible for providing the full range of administrative coordination and project management duties required to deliver multiple education programs currently planned and approved by the Judicial Council as part of the Judicial Branch Education Plans. In order to ensure the work of the office is completed within budget and on time, assignments will be flexibly rotated, therefore, this position is expected to be capable of performing all coordinator duties. The Judicial Council The Judicial Council of California is the policy setting body for the state court system and has constitutionally conferred statewide rule-making authority. This authority includes developing, advocating for, and allocating the judicial branch budget. A majority of Council members are California state justices and judges; however, the Council also includes lawyers, legislators, and court administrators. By enhancing its role as a leadership, knowledge, and service resource for the judicial branch, the Judicial Council's staff organization seeks to continue to evolve as one of California's most dynamic public service entities, focused on improving access to justice for all Californians by innovating and responding to the changing needs of the courts and the public. As a government body charged with improving the statewide administration of justice, the Judicial Council has multiple offices with diverse responsibilities relating to court policy and operations. As employees of the council, every member of staff should view and approach their work as one Judicial Council with a public service mission that is greater than the sum of its parts.

MINIMUM QUALIFICATIONS Three (3) years of administrative support experience, including some experience in area(s) of assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper management, etc.). OR Associate's degree, preferably in area(s) of assignment, and one (1) year of administrative support experience, including some experience in area(s) of assignment (such as accounting, writing/editing, database/spreadsheets, direct support to upper management, etc.). Additional directly related experience and/or education may be substituted on a year-for-year basis. OR One (1) year as an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist with the Judicial Council of California or one year of experience performing the duties of a class comparable in the level of responsibility to that of an Administrative Specialist, Facilities Specialist, or Fiscal Services Specialist in a California superior court or California state-level government entity.
