Transaction Coordinator

We’re looking for a highly organized, detail-oriented Transaction Coordinator to support real estate transactions from contract to close. This person will play an important role in keeping transactions on track, coordinating with multiple parties, and ensuring a smooth, positive experience for clients throughout the process. The ideal candidate thrives in a fast-paced environment, communicates proactively, and takes ownership of details and deadlines. They are comfortable managing multiple transactions at once, anticipating potential issues, and finding solutions before small problems become larger ones. Responsibilities: Manage real estate transactions from executed contract through closing, ensuring all required steps and deadlines are met. Coordinate communication between buyers, sellers, agents, lenders, title companies, and other parties involved in each transaction. Track contract milestones, documentation, contingencies, and closing requirements to keep transactions progressing smoothly. Maintain accurate, organized transaction files and ensure all necessary paperwork is completed and submitted on time. Proactively follow up with stakeholders to resolve outstanding items, address delays, and prevent transactions from falling behind. Provide responsive, professional, and thoughtful customer service throughout the transaction process. Identify potential challenges, troubleshoot issues, and escalation matters when appropriate. Maintain consistent communication with internal team members and provide timely updates on transaction status. Collect client feedback and support a positive client experience through closing and beyond. Look for opportunities to improve workflows, strengthen processes, and increase efficiency. Must-Have Skills: Strong organizational skills and exceptional attention to detail. Excellent written and verbal communication skills. Ability to manage multiple priorities, deadlines, and competing demands without losing track of important details. A proactive, solutions-oriented approach to problem-solving. Strong interpersonal skills and the ability to build trust with clients and professional partners. Comfortable working in a fast-paced, high-volume environment. Demonstrated ownership, accountability, and follow-through. Adaptable, coachable, and receptive to feedback. Proficiency with standard business software and the ability to learn new systems quickly.
