Admin Secretary

Job Description Under direct guidance of the managements, the Admin Secretary will coordinate with other Departments of Villa Park Sun Island, the government & other institutions in achieving all the specified administrative tasks & communications, making the reports and maintaining documentation. Maintain General Manager’s appointment and meeting schedules. Prepare the venues for GM’s meetings. Where necessary, accompany General Manager to meetings at resort and other venues. Prepare and maintain minutes of General Manager’s meetings. To be a source of information for all the members of the resort management. Prepare and maintain minutes of Management meetings. Give general secretarial support to special committees of the resort and prepare & maintain the minutes of all such minutes. Manage, maintain, regulate, and coordinate all the documents the comes from departs to General Managers Office. In coordination with HR, maintain attendance records of all members of the Administration Department. In coordination with HR. maintain leave and off-day records of ALL managerial level staff. To maintain and file all relevant papers coming from and to the General Manager’s office. To ensure that confidentiality is maintained in handling all such information. To handle and distribute the co-mail that is received from Head Office. To ensure that the all the secretarial communication portals (email, fax, phone) are in working order and to circulate all received correspondence to respective departments. To maintain all government related statutory records. Stay up-to-date on all current local legislation, regulation changes that may occur from time to time. To monitor and update the social media accounts of Sun Island Resort and Spa. To monitor and update the website of Sun Island Resort & Spa. To check online reviews for guest comments & feedback and forward all comments of concern to the General Manager for his attention, and reply on behalf of General Manager, as suggested by General Manager. Collect and tabulate information from guest comment forms. To follow up with related departments the status of remedial action/s pertaining to guest comments & feedback. To compile and maintain health & safety records, reports, and documents which needed for Sun Island & Villa Hotels. In coordination with related departments, plan and execute promotional activities of resorts facilities & services. To operate and give announcements on the Public Address System. To coordinate and assist the Environment Manager in collecting water samples and dispatching them to Male’ for laboratory testing. All water reports to be filed for future reference. Also, in maintaining all health and safety related records. In coordination with related departments, compile, prepare and maintain all health and safety reports. To coordinate with the resort doctor and prepare summary reports about guest and staff patients. Allocating Revinate comments to related HODs and update accordingly. Qualifications We are looking for an enthusiastic individual with a proven track record of success and professional experience in all aspects of office administration, including, but not limited to: front desk receptionist, data entry, filing, transcription, typing, answering and directing calls, writing and editing, and customer service. Thoroughly familiar with Microsoft Office Suite and Google Workspaces. Proficient in verbal and written communication with clients, vendors, and co-workers.
