Office Services Coordinator
The Office Services Coordinator supports the Facilities Administration Manager in the day-to-day operation of mailroom, office supply, and printing services. Responsibilities include sorting, delivering, and processing mail and packages, operating mailroom equipment, managing inventory and distribution of office supplies, and maintaining clean and organized mailroom, stock room, and print room spaces.
Essential Duties & Responsibilities
- Assist in all daily mailroom operations, ensuring the efficient and timely handling of incoming and outgoing mail, packages, and interoffice deliveries.
- Operate mailroom equipment, such as postage meters and scales, while assisting in maintaining accurate records of postage charges, mail deliveries, and other relevant information.
- Prepare packages for shipment, including weighing packages and letters to determine postage needed, using weighing scales and rate charts.
- Ensure timely and accurate delivery of mail and packages while adhering to postal regulations and company policies.
- Assist in the management of inventory of mailroom, office and paper supplies, and restocking across office locations.
- Provide support and collaboration with internal departments to support print-related jobs, copying, and binding, and ensure timely communication in answering inquiries regarding shipping or mailing policies and procedures.
- Assist in logistics for all incoming packages from carriers like UPS, FedEx, and Amazon, including scanning, tracking, and secure distribution.
- Assist in maintaining the coffee stations, including ordering and replenishing coffee, cups, and related items.
- Assist in coordinating service and maintenance for printers, copiers, and coffee machines.
- Support Facilities Administration Manager in implementing policies and standard operating procedures (SOPs) for mailroom operations to maintain service quality and improve efficiency.
- Assist the Facilities Administration Manager with any additional tasks as needed.
- Actively engaged and support an environment of high morale, high performance, and dedication to Pacers Sports & Entertainment (PSE) core values.
- Other duties as assigned.

- High school diploma or equivalent experience.
- 1-2 years of mailroom operations experience highly preferred.
- Strong organizational and time management skills.
- Good communication and customer service skills.
- Proficiency in basic data entry and software applications.
- Experienced in operating and maintaining high-volume printing equipment for daily business needs.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office Suite, including Outlook, Excel, and Word.
- Familiar with shipping and logistics platforms such as FedEx and UPS.
- Skilled in using Adobe Acrobat for document viewing and editing.

While performing the duties of this job, the noise level in the office work environment is usually moderate and the noise level in the Fieldhouse / game environment is usually loud. The stress level may become high during certain times of the year.
