Client Services Specialist

About the Role: As a Client Services Specialist, you will be the primary operational and service contact for private wealth clients, ensuring their requests are handled accurately and efficiently. You will play a central role in onboarding new clients, maintaining impeccable records, and coordinating closely with advisors and custodians to keep accounts running smoothly. Your work will directly enhance the client experience and support the firm's advisors in delivering high-quality wealth management advice. Key Responsibilities: Enhance the client experience by greeting and interacting with clients in a friendly, professional manner when they visit the office. Communicate with private wealth clients to ensure their service requests are completed promptly, including opening investment accounts, processing changes, and resolving routine inquiries. Organize, maintain, and update all client records and documentation to ensure accuracy, completeness, and easy retrieval. Collaborate with the Client Services Team and Wealth Advisory Team on all onboarding tasks for new clients, including coordination with the custodian, Charles Schwab. Support Wealth Advisors with day-to-day client service needs, documentation, and follow-up to ensure seamless delivery of advisory services. Complete account transfers, including time-sensitive ACH and wire transactions, ensuring accuracy and adherence to established procedures. Prepare, complete, and track all compliance-related materials for new clients in line with firm and regulatory requirements. Key Requirements: Proven track record of delivering exceptional client service in a professional office environment. Strong attention to detail with the ability to manage multiple tasks and deadlines accurately. Excellent organizational skills and a structured approach to managing client information and workflows. Confident, professional communication skills, both verbal and written, with the ability to interact comfortably with high-net-worth clients. High level of personal accountability, follow-through, and commitment to high-quality work. Proficiency with standard office software (e.g., Microsoft Office or similar) and comfort working with client management or financial systems. Experience working in a financial advisory, wealth management, or related financial services firm. Familiarity with Charles Schwab account forms, processes, and online platforms. Experience handling investment account operations such as transfers, ACH, and wire transactions. Exposure to compliance processes and documentation within a regulated financial services environment. Qualifications: Associate's or Bachelor's degree in Business, Finance, or a related field preferred. Additional coursework or certifications related to financial services, customer service, or office administration are an advantage. Ongoing professional development or interest in the wealth management/financial services industry is preferred.
