IP Legal Practice Assistant, Newark, NJ - One day in office, four days remote schedule

My client, a nationally recognized law firm, is seeking an IP Legal Practice Assistant to support its Intellectual Property team in a fast-paced, deadline-driven environment.

Responsibilities

• Prepare and file U.S. patent applications with the USPTO.
\n
• Coordinate execution of patent documents, including Assignments, Declarations, and Powers of Attorney.
\n
• Draft patent and trademark-related correspondence and documents.
\n
• Manage and monitor IP docket deadlines using CPI and other docketing systems.
\n
• Review filing receipts and USPTO notices for accuracy.
\n
• Conduct USPTO research and assist with administrative IP matters.
\n
• Generate reports and maintain electronic IP files and records.
\n
• Prepare, revise, proofread, and format legal documents and correspondence.
\n
• Support new matter intake, conflict checks, engagement letters, and file openings.
\n
• Maintain attorney calendars, deadlines, meetings, and other scheduling needs.
\n
• Collaborate with attorneys, paralegals, and team members to ensure efficient workflow and exceptional client service.
\n

Requirements

\n
• High school diploma or equivalent required.
\n
• Minimum 3 years of Intellectual Property Legal Assistant or Legal Practice Assistant experience.
\n
• Experience supporting patent prosecution matters preferred.
\n
• Strong proficiency in Microsoft Office.
\n
• Experience with CPI, NetDocuments, PracticeLink, or similar legal software is a plus.
\n
• Excellent organizational, communication, proofreading, and time management skills.
\n
• Ability to manage multiple priorities and deadlines with strong attention to detail.
\n
• Team-oriented mindset with the ability to work independently when needed.
\n
