Chief of Staff & Institutional Project Manager

The Texas Railway Preservation Association (TRPA) is seeking a high-caliber Chief of Staff & Institutional Project Manager . Reporting directly to the Executive Director and the Corporate Secretary , you will be the primary engine behind TRPA’s administrative and strategic operations.

We are looking for a "Master of Logistics" who can translate vision into documentation. You will oversee the creation of Master Plans, institutional paperwork, and high-fidelity project documents that define our transition from a startup preservation group to a premier Texas cultural institution. This is a pro-bono executive role for someone who thrives in the "Foundry" of organizational building.

Key Responsibilities

• Strategic Documentation: Lead the drafting, editing, and formatting of TRPA’s "Master Plan" and core institutional documents. You ensure every proposal is professional, authoritative, and mission-aligned.
• Administrative Architecture: Manage the lifecycle of all corporate paperwork, filings, and board-level records in collaboration with the Corporate Secretary.
• Workflow Orchestration: Act as the "Project Manager of Project Managers," ensuring that various department heads (Mechanical, Brand, Advancement) are meeting deadlines and that their documentation is unified.
• Executive Liaison: Serve as a strategic filter and right-hand for the Executive Director, managing high-priority communications and ensuring that institutional goals are tracked and met.
• Archive of Strategy: Maintain the Association’s "Operational Vault"—the master repository for all legal agreements, site development plans, and strategic blueprints.
• Systems Optimization: Design and implement administrative systems that allow the TRPA to operate with the efficiency of a modern tech sector firm while preserving 1920s industrial history.

Professional Requirements

• Administrative Pedigree: Proven experience in Project Management, Executive Assistance (C-Suite level), or Technical Writing.
• Mastery of the Craft: Exceptional skills in document design and technical writing; you understand that a "Master Plan" should look as good as it reads.
• Command & Control: Strong organizational discipline with the ability to manage complex "moving parts" across multiple departments simultaneously.
• High-Fidelity Communication: The ability to draft executive-level correspondence and represent the TRPA "Voice" with total professional authority.
• Mission Alignment: A commitment to the "Apple Garage" hustle—the drive to build the administrative foundation for a multi-million dollar legacy project.
